Key Responsibilities
- Provide comprehensive administrative support to the regional management team and staff.
- Manage office calendars, schedule meetings, and coordinate appointments for staff and visitors.
- Arrange domestic travel logistics, including flights, accommodation, and per diems.
- Prepare, edit, and proofread correspondence, reports, presentations, and other documents.
- Handle incoming and outgoing communications, ensuring prompt and professional responses.
- Maintain organized filing systems, both physical and digital, for easy retrieval of information.
- Manage office supplies and inventory, ensuring adequate stock levels.
- Assist in the organization of workshops, meetings, and events.
- Act as a liaison between staff, management, and external stakeholders.
- Provide general administrative support, including data entry and document management.
- Ensure efficient operation of office equipment and coordinate maintenance as needed.
- Uphold the organization's administrative standards and procedures.
Requirements
- Minimum of 4 years of experience in an administrative assistant role, preferably in an international organization or NGO.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time-management skills, with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills in Bahasa Indonesia and English.
- Experience in coordinating travel arrangements and managing office supplies.
- High level of discretion and professionalism in handling sensitive information.
- Ability to work independently and as part of a team.
- Detail-oriented with a commitment to accuracy.
- Familiarity with the local context in Palembang is advantageous.
