About the Role
As a CBRE CMMS Planner, you will provide planning, scheduling, reporting, and administrative support for maintenance activities across a data centre environment. This role is responsible for ensuring all preventive and corrective maintenance activities are accurately managed within the Computerized Maintenance Management System (CMMS), supporting the efficient delivery of maintenance services and operational compliance requirements. This job is part of the Contract Quality Management job function and is responsible for supporting maintenance planning, vendor coordination, documentation control, and performance reporting to ensure maintenance activities are completed safely, efficiently, and in accordance with contractual and operational requirements.
What You'll Do
- Manage and maintain maintenance schedules within the CMMS, ensuring all preventive and corrective maintenance activities are accurately planned and tracked.
- Create, assign, and monitor work orders to ensure maintenance activities are completed on schedule and in accordance with established procedures.
- Maintain accurate asset, equipment, and maintenance records within company systems.
- Review maintenance schedules and proactively identify overdue activities, scheduling conflicts, resource constraints, or potential service delivery risks.
- Coordinate planned maintenance activities with vendors, site teams, and key stakeholders to minimize operational disruption.
- Serve as a primary point of contact for maintenance vendors regarding work order planning, scheduling, and completion requirements.
- Coordinate vendor access, maintenance windows, permits, and supporting documentation required for maintenance execution.
- Track work order progress and ensure completion evidence, service reports, and close-out documentation are submitted accurately and on time.
- Review maintenance documentation to ensure completeness, accuracy, and compliance with company standards and contractual requirements.
- Maintain document control processes and ensure maintenance records are available, current, and easily retrievable for audits and operational reviews.
- Support audit readiness activities by monitoring maintenance documentation, compliance records, and system data integrity.
- Generate and distribute routine maintenance, compliance, and performance reports for account leadership and client review meetings.
- Monitor vendor performance metrics, including schedule adherence, work completion status, documentation quality, and service delivery performance.
- Identify recurring issues, operational risks, and maintenance trends and communicate findings to relevant stakeholders.
- Collaborate with Facilities Management teams, technical teams, and vendors to support efficient maintenance planning and execution.
- Respond to inquiries relating to work order status, maintenance schedules, asset information, and operational reports.
- Support the transition and integration of maintenance programs, systems, and processes for new facilities or operational handovers where applicable.
- Gather and analyze maintenance data to identify opportunities for operational improvements, process efficiencies, and service delivery enhancements.
- Assist in ensuring compliance with Health, Safety, Environment, and Quality (HSEQ) requirements by maintaining accurate maintenance and compliance records.
- Suggest improvements to existing maintenance planning, reporting, and CMMS processes to enhance operational performance and customer satisfaction.
What You'll Need
- High School Diploma or GED with 3-5 years of job-related experience. Associate’s Degree or Bachelor’s Degree in Engineering, Facilities Management, Business Administration, or a related field is preferred.
- Working knowledge of Computerized Maintenance Management Systems (CMMS) and maintenance planning processes.
- Experience supporting facilities management, data centre operations, engineering services, or critical environment maintenance activities.
- Strong understanding of preventive maintenance, corrective maintenance, work order management, and asset management processes.
- Experience coordinating with external vendors, contractors, and service providers.
- Ability to evaluate and communicate complex operational information in a concise and logical manner.
- Strong attention to detail with a focus on documentation accuracy and data integrity.
- Experience preparing reports and analyzing maintenance performance data.
- Professional proficiency in English and Bahasa Indonesia.
- Advanced knowledge of Microsoft Office products, including Excel, Word, Outlook, and PowerPoint.
- Strong organizational, planning, and stakeholder management skills.
- Ability to manage multiple priorities and deadlines in a fast-paced operational environment.
- Strong problem-solving skills and an inquisitive mindset with the ability to identify process improvement opportunities.
- Ability to work collaboratively with cross-functional teams and build effective working relationships with internal and external stakeholders.
