Key Responsibilities:
Maintaining pipeline health — monitor the leads pipeline daily to ensure every lead is correctly categorised and sitting in the right stage, flagging anything that has stalled, been misplaced, or slipped through the cracks
Booking strategy sessions — contact qualified leads that come through the Typeform enquiry or via team referrals, and schedule a time for their strategy session with one of our migration experts
Rescheduling consultations — follow up with leads who miss their scheduled consultation and arrange a new time
Confirmations & reminders — confirm each lead's availability ahead of their booking, check the allocated time still suits them, send timely reminders in the lead-up, and rearrange the appointment where a client can no longer attend
Nurturing leads — keep leads warm throughout: prompt migration experts to follow up where needed or follow up directly yourself, checking in on whether leads have roadblocks, need a second consultation, require further information, or are ready to proceed
Recording & reporting — note the outcome of each consultation (qualified or unqualified), track whether leads responded, and maintain accurate records of booking numbers and conversion for reporting
Preparing checklists — issue a clear list of the documents required for each client's matter
Compiling documents — organise all documentation neatly within the shared Drive, keeping each client's file accurate (correctly named and in the required format), up to date and easy for the migration experts to work from
Drafting and preparing documents — assist with statements, forms, and other supporting documents
Application support — preparing and completing applications (Visa, Skills Assessment, etc.)
Correspondence — drafting emails and client communications
Requirements:
Excellent English communication skills (written and verbal) — mandatory.
Proactive, organized, and detail-oriented.
Strong interpersonal and customer service skills.
Able to work independently and take initiative.
Previous experience in administration, customer service, or sales support is a plus.
