We are looking for a highly organized, proactive, and trustworthy Executive Assistant to provide high-level administrative and operational support to senior management.
This is an overseas employment opportunity based in Papua New Guinea. The successful candidate must be willing and prepared to relocate to Papua New Guinea and work in an international environment.
The Executive Assistant will be responsible for executive support, office administration, logistics, procurement, compliance documentation, HR coordination, and other management-related activities.
1. Executive & Administrative Support
Manage calendars, schedule meetings, and coordinate internal and external communications.
Arrange travel bookings, including flights, hotel accommodations, and transportation.
Prepare and process visa applications other travel-related documentation.
Assist with new company registration requirements and bank applications.
Prepare and complete documentation and requirements for ongoing corporate projects.
Assist with personal administrative matters, including bank card applications, club memberships, and driver's license processing.
Prepare reports, letters, presentations, and other documents as required.
2. Compliance & Licensing – Gold Export
Prepare and submit legal, regulatory, and licensing requirements related to gold export activities.
Monitor license renewals and ensure all compliance documentation is complete and up-to-date.
Coordinate with external agencies, government offices, regulatory authorities, and business partners.
Maintain organized records of permits, licenses, registrations, and other compliance documents.
3. Procurement & Logistics
Source spare parts, machinery, supplies, equipment, and other materials as required.
Manage end-to-end logistics from international suppliers to local destinations or project sites.
Prepare purchase orders and related procurement documentation.
Coordinate with suppliers, freight forwarders, and logistics providers.
Review supplier invoices and supporting documents for accuracy and payment processing.
Monitor deliveries and ensure materials arrive on time.
4. Human Resources & Onboarding
Lead and coordinate recruitment and talent acquisition activities.
Coordinate onboarding and documentation requirements for new employees.
Assist with general HR administration and employee records.
Coordinate employment-related documentation and government requirements.
5. Operations & Office Management
Oversee daily office operations to ensure an efficient and organized workflow.
Coordinate company events, activities, meetings, and other internal functions.
Monitor office requirements, supplies, and administrative needs.
Coordinate with different departments to ensure smooth day-to-day operations.
Represent the management team in meetings and discussions when delegated.
Perform other administrative and operational duties as assigned by management.
Bachelor's degree in business administration, management, human resources, or a related field.
Proven experience as an executive assistant, personal assistant, office administrator, operations coordinator, or similar role.
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Strong attention to detail and ability to maintain confidentiality.
Proficient in Microsoft Office, particularly Word, Excel, and PowerPoint.
Strong coordination, problem-solving, and follow-up skills.
Ability to work independently and manage multiple priorities.
Professional, proactive, reliable, and resourceful.
Experience in procurement, logistics, HR, compliance, or corporate administration is an advantage.
Experience working in an international or multicultural environment is an advantage.
This position is based in Papua New Guinea and is intended for a candidate who is willing to relocate and work overseas.
