Florens Asset Management Company Limited in Sheung Wan, HK is seeking a Senior Payroll Specialist (Temporary Contract) to oversee payroll transactions, validate data, and ensure compliance with statutory and internal policies.
You will support time & attendance processing, leave management, and payroll reporting while collaborating with Finance, HR, and IT to resolve issues and drive process improvements. A strong HK payroll background and proficiency in English and Chinese are required.
Senior Payroll Specialist plays a critical role in supporting the accurate and timely execution of payroll operations and time & attendance processing across business units. This role is responsible for handling payroll transactions, validating data, resolving discrepancies, and ensuring compliance with statutory and internal policies. The role also contributes to process improvements and supports reporting and audit activities.
Payroll Processing Support
Execute payroll transactions including onboarding setup, salary adjustments, leave encashment, and termination payouts
Validate payroll inputs and ensure accurate processing in accordance with payroll schedules
Assist in preparing payroll reports and reconciliation documents for review by the Payroll Manager
Support monthly payroll disbursement activities and coordinate with Finance for funding and reporting
Maintain accurate employee earning records and ensure compliance with statutory requirements
Time & Attendance and Leave Processing
Process leave requests, entitlements, and updates in HR systems
Validate time & attendance data and ensure proper integration with payroll systems
Investigate and resolve discrepancies in time reporting and leave balances
Support reporting for workforce planning and compliance
Compliance & Documentation
Ensure payroll activities adhere to internal policies, data privacy regulations, and audit standards
Support internal and external audits by preparing required documentation and responding to queries
Maintain up-to-date records and documentation in line with governance requirements
Collaboration & Issue Resolution
Work closely with the Payroll Manager and other team members to meet payroll deadlines and service levels
Coordinate with P&C Business Partners, Finance, and IT to resolve payroll-related issues
Escalate complex or unresolved issues to the Payroll Manager
Process Improvement & Collaboration
Identify opportunities to improve payroll and time management processes
Collaborate with P&C Business Partners, Finance, and IT to resolve payroll-related issues
Provide input to enhance system functionality and support automation initiatives
Service Delivery & Support
Respond to employee and manager queries related to payroll and time attendance
Ensure timely and accurate processing of requests in line with SLAs
Escalate complex cases to the manager and support resolution
Contribute to knowledge articles, FAQs, and SOP documentation
The incumbent may be assigned such other duties, responsibilities, or tasks as may be reasonably required by the Management from time to time. These additional assignments shall be consistent with the overall functions and objectives of the position and shall be undertaken to support organizational needs, operational effectiveness, and business continuity.
Do you have relevant experience and skills?
Bachelor’s degree in human resources, Finance, Business Administration, or a related field
3- 5 years of experience in payroll operations with in-house or within a payroll outsourcing or shared services environment.
Proven experience in managing high-volume payroll operations, preferably supporting a large retail, frontline, or shift-based workforce.
Good proficiency in written and spoken English and Chinese.
Acquired APAC country payroll knowledge, or with strong knowledge of Hong Kong payroll legislation and statutory compliance requirements, including MPF/eMPF regulations, IRD employer reporting and tax filing requirements, Minimum Wage Ordinance, or Singapore Statutory knowledge including CPF requirements, government claims processes, foreigner related tax processes, etc. will be added advantage.
Experience in preparing bank payment files, processing payroll payments, and coordinating statutory submissions with relevant authorities or third-party service providers.
Proven experience in payroll validation, reconciliation, payroll reporting, audit support and ensuring payroll compliance & accuracy.
Familiarity with Time and Attendance systems, including roster management, overtime calculations, leave administration, attendance reconciliation and payroll integration, particularly in a retail environment will be added advantage.
Hands‑on experience in annual tax filing and employer reporting, including the preparation and submission of HK IR56B, IR56E, IR56F, IR56G and BIR56A forms, as well as handling employee tax‑related enquiries and annual tax filing for SG such as IR8A, IR21 and other scenario specific tax forms that may be added advantage.
Demonstrates the ability to use Microsoft Office application particularly, XLOOKUP/VLOOKUP, PIVOT table etc with Advance or Intermediate level will be added advantage.
Proficiency in Payroll, Time & Attendance systems and HRIS tools (e.g., SAP SuccessFactors, Workday).
Ability to communicate with stakeholders (i.e HR, Finance, business leaders, payroll vendors and government authorities) and embrace strong teamwork.
