Job summary

Water Oasis Group is seeking an Administration Officer to support daily operations across beauty centres, handle document sorting, data entry, and record keeping, ensuring timely, accurate tasks.

You will liaise with internal and external parties, compile weekly and monthly reports on sales, inventory, and customer feedback, and assist with budget tracking and project coordination; immediate availability preferred.

Qualifications

• DSE or above academic qualification.
• Fresh graduates are welcome; 1-2 years preferred in admin/coordination.
• Experience in retail, beauty, fitness, health or pharma is a plus but not required.
• Proficient with Word, Excel, PowerPoint and AI tools.

Job description

Provide comprehensive administrative and operational support for daily operations of all beauty centres, including document sorting, data entry, and record keeping, to ensure all administrative tasks are completed in a timely and accurate manner.

Liaise and coordinate with internal departments and external parties to ensure smooth communication and execution, eliminating cross-departmental bottlenecks and reducing operational delays.

Compile weekly and monthly operational reports on store sales, inventory turnover, and customer feedback, to deliver accurate, actionable data insights for management decision-making.

Process store expense claims, track team budget utilization, and coordinate with the Finance team, to ensure all claims are compliant with company policies and budget targets are met.

Lead and support special projects from initiation to completion, including project planning, timeline management, stakeholder coordination, progress tracking, and deliverable review, to ensure projects are delivered on schedule and within budget.

Drive digitalization of Salon Operations tools & documentation, to streamline workflows and improve overall team operational efficiency.

Support ad hoc assignments and cross-functional initiatives as needed.

Job Requirements

DSE or above academic qualification.

Fresh graduates are welcome to apply; candidate with 1-2 years' relevant working experience in administrative, operations support, or project coordination roles are preferred. Experience in retail, beauty centre, fitness centre, health centre, clinic, or pharmaceutical industry is a plus but not required.

Have hands-on knowledge of computer applications including Word, Excel, PowerPoint, and AI applications.

Responsible, well-organized, proactive with good communication and interpersonal skills.

Demonstrate excellent coordination skills, mature work attitude, attention to detail, and ability to work independently.

Strong interest in project coordination and ability to manage multiple priorities simultaneously.

Immediate availability is highly recommended.
