Qualifications

  • Bachelor's degree or equivalent.
  • 4+ years of experience in Executive Assistant, Office Manager, Administration Manager, or similar roles.
  • Prior experience within asset management, hedge funds, private equity, family offices, investment banking, or financial services preferred.
  • Demonstrated experience supporting senior executives or C-suite stakeholders.
  • Strong organisational and project management skills with excellent attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Professional, discreet, and highly service-oriented approach.
  • Excellent communication skills in English. Cantonese and Mandarin would be advantageous.
  • Advanced proficiency in Microsoft Office.

Responsibilities

  • Provide proactive and confidential support to senior executives, including complex calendars, meetings, and international travel arrangements.
  • Oversee the daily operations of the Hong Kong office, manage budgets, vendor relationships, service providers, and contract renewals.

Executive Assistant Support
  • Provide proactive and confidential support to senior executives.
  • Manage complex calendars, meetings, and international travel arrangements.
  • Coordinate board meetings, investor meetings, and internal leadership meetings.
  • Prepare presentations, meeting materials, reports, and correspondence.
  • Handle expenses, invoices, and administrative documentation.
  • Act as a key liaison between internal teams and external stakeholders.
Office Management
  • Oversee the daily operations of the Hong Kong office and ensure a professional working environment.
  • Manage office budgets, vendor relationships, service providers, and contract renewals.
  • Coordinate office maintenance, facilities management, and workplace initiatives.
  • Ensure compliance with local regulatory, licensing, and corporate governance requirements.
  • Manage office supplies, insurance policies, and business continuity procedures.
  • Support office relocation, renovations, and space planning projects when required.
Events & Employee Engagement
  • Organise corporate events, town halls, leadership visits, offsites, and employee engagement activities.
  • Coordinate client events and hospitality arrangements.
  • Partner with regional and global teams on workplace and culture initiatives.
Requirements
  • Bachelor's degree or equivalent.
