Our client, a well-established comprehensive fund manager, is seeking an Administrative Officer to join its Hong Kong office. This is an excellent opportunity for an organised and service-oriented professional to play a key role in ensuring the smooth day-to-day operations of a corporate office while providing first-class administrative and front-of-house support.
Serve as the first point of contact for visitors, clients and business partners, delivering a professional front-of-house experience.
Manage reception duties, including visitor registration, meeting arrangements and general office enquiries.
Handle incoming calls, direct enquiries and ensure effective communication across the business.
Coordinate local and international courier services, document delivery and mail distribution.
Manage meeting room bookings and coordinate meeting logistics, including catering, refreshments and room setup.
Arrange business travel, including flight, train and hotel reservations for employees.
Support office administration by maintaining office supplies, pantry inventory and general workplace facilities.
Coordinate office maintenance, repairs and liaise with external vendors to ensure a well-maintained working environment.
Maintain administrative records, filing systems and internal databases with accuracy.
Assist with ad hoc administrative projects and provide operational support to various business teams as required.
Bachelor's degree or above.
Approximately 2–3 years of front office, receptionist or administrative experience, ideally gained within banking, asset management, financial services or a professional services environment.
Strong proficiency in Microsoft Office applications.
Excellent customer service mindset with professional telephone and communication etiquette.
Well-organised, proactive and able to manage multiple priorities independently.
Strong interpersonal and communication skills with a positive, team-oriented attitude.
Reliable, detail-oriented and adaptable in a fast-paced corporate environment.
Fluent in spoken and written English and Chinese, including both Mandarin and Cantonese.
Candidates who are available to join on short notice are highly preferred.
