Heptagon Photonics Pte Ltd. is seeking a Logistics & Order Management Specialist to join our team in Singapore.

You will ensure seamless order processing, maintain optimal inventory levels, and coordinate with warehouses and logistics partners to deliver photonics products worldwide. Ideal candidates will have 2–4 years in logistics or order management, strong English communication, and familiarity with SAP or Oracle ERP systems.

Responsibilities

• Process customer orders accurately and ensure documentation complies with procedures
• Manage inventory levels and coordinate with warehouse for stock availability
• Liaise with logistics partners to arrange shipments and track deliveries
• Monitor order status from receipt to delivery and update customers on timelines
• Prepare shipping paperwork including invoices, packing lists, B/Ls, and customs docs
• Resolve order discrepancies and coordinate with departments to address concerns
• Maintain accurate records of orders, shipments, and logistics activities
• Analyse logistics costs and identify process improvements and savings
• Collaborate with sales, manufacturing and customer service for seamless fulfilment

About the role

We are seeking a Logistics & Order Management Specialist to join Heptagon Photonics Pte Ltd. in a full-time capacity, based in the Ang Mo Kio North-East Region. This role is pivotal to our operations, serving as the critical link between our sales, manufacturing, and distribution functions. As Logistics & Order Management Specialist, you will be responsible for ensuring seamless order processing, inventory management, and timely delivery of our photonics products to customers worldwide. Your work will directly impact customer satisfaction, operational efficiency, and the company's bottom line, making this a strategically important position within our organisation.

What you’ll be doing

Your key responsibilities will include:

• Processing customer orders accurately and efficiently, ensuring all documentation is complete and compliant with company procedures and regulatory requirements

• Managing inventory levels, tracking stock movements, and coordinating with the warehouse team to maintain optimal stock availability

• Liaising with logistics partners and freight forwarders to arrange shipments, negotiate rates, and track deliveries in real time

• Monitoring order status from receipt through to delivery, proactively communicating with customers regarding timelines and any potential delays

• Preparing shipping documentation, including invoices, packing lists, bills of lading, and customs paperwork for international shipments

• Resolving order discrepancies, managing returns, and coordinating with relevant departments to address customer concerns promptly

• Maintaining accurate records of all orders, shipments, and logistics activities within the company management systems

• Analysing logistics costs and identifying opportunities for process improvements and cost savings

• Collaborating with sales, manufacturing, and customer service teams to ensure seamless order fulfilment and customer satisfaction

• Supporting the implementation of logistics best practices and contributing to continuous improvement initiatives

What we’re looking for

To succeed in this role, you should possess the following skills and experience:

• Proven experience of 2-4 years in logistics, order management, warehouse operations, or a related field within the manufacturing or distribution sector

• Strong organisational and time management skills, with the ability to juggle multiple orders and priorities simultaneously

• Proficiency in inventory management systems and warehouse management software; experience with SAP, Oracle, or similar enterprise resource planning systems is advantageous

• Excellent written and verbal communication skills in English, with the ability to correspond professionally with internal and external stakeholders

• Solid understanding of supply chain principles, including procurement, inventory control, demand planning, and distribution logistics

• Familiarity with customs clearance procedures and international shipping documentation, particularly for exports to Europe and North America

• Strong attention to detail and commitment to accuracy in order processing and documentation

• Ability to work independently whilst also collaborating effectively within a team environment

• Problem-solving mindset with the capacity to identify issues and implement practical solutions

• Knowledge of photonics, electronics, or precision manufacturing is preferred but not essential
