Job description

Job Purpose:
The Assistant Manager, Feedstock Operations is responsible for ensuring the efficient and accurate execution of feedstock logistics operations, including shipping coordination, documentation management, inventory monitoring and ERP System implementation & improvement. The role supports seamless CIF and FOB trade execution while minimizing operational risks such as demurrage and documentation discrepancies.

This position also drives continuous improvement by enhancing reporting, streamlining operational processes, and ensuring timely, accurate data visibility for decision-making. The incumbent is expected to work closely with internal and external stakeholders to ensure responsive, reliable, and compliant operations, while contributing to overall supply chain efficiency and cost optimization.

Key Responsibilities:

Procurement & Order Management

  • Oversee CIF and FOB operations, ensuring proper execution and compliance with contractual terms
  • Coordinate with suppliers and internal procurement teams to follow up on orders and confirm shipment schedules, berthing plans, delivery timelines and etc.
  • Verify supplier delivery cargo readiness, quantities and specifications
  • Liaise with suppliers and surveyors for inspections and quality adherence
  • Provide complete documentation to the finance department for timely payment processing.
  • Support smooth cargo transfer and in-tank handling coordination between suppliers and storage terminals
  • Ensure all procurement-related documentation complies with internal controls and audit requirements

Documentation & Compliance

  • Handle and review shipping documents, including Bill of Lading (BL), Letter of Indemnity (LOI), insurance, and demurrage-related documentation
  • Ensure accurate documentation format determination and compliance with internal and external requirements

Demurrage & Claims Management

  • Monitor vessel turnaround and identify demurrage exposure
  • Liaise with stakeholders to support demurrage claims, insurance matters, and dispute resolution

Reporting & Analysis

  • Develop and enhance operational process tracking reports to ensure smooth and complete operational execution
  • Prepare and maintain inventory analysis reports to support operational and commercial decision-making

Process Improvement

  • Identify inefficiencies and implement process streamlining initiatives
  • Drive continuous improvement in operational workflows, reporting systems, and data management
  • Assist in system implementation, reporting automation, or sustainability traceability projects related to feedstock operations

Contract Management and vendor onboarding

  • Work closely with sourcing team and supplier on contract management and vendor on boarding formalities

Qualifications and Requirements:

  • Bachelor’s Degree in Supply Chain Management, Business Administration, or a related discipline.
  • 3-5 years’ experience preferably in Feedstock Operations, Commodity Trading Operations, Supply chain or Logistics.
  • Proficient in Microsoft Office applications, particularly Excel, with strong analytical and reporting capabilities.
  • Experience with ERP systems, trading platforms, inventory management systems, or reporting tools is an advantage.
  • Experience in process improvement, automation projects, data management, or sustainability traceability initiatives is an added advantage.
  • Strong problem-solving skills with the ability to identify operational issues and implement practical solutions.
  • Self-motivated, proactive, and able to work independently in a fast-paced environment.
  • High attention to detail and accuracy in documentation and record keeping.
  • Excellent communication skills, able to present findings clearly and concisely.
  • Integrity, discretion, and a strong sense of accountability.
