Job summary

Preface is seeking an organised Events Coordinator / Assistant Manager or Manager in Hong Kong to support planning, logistics and on-site execution of events. You’ll coordinate venues, equipment, transport, catering and registrations while managing timelines, run sheets and budgets.

The role requires strong project and time management, exceptional communication, and the ability to adapt to changing plans. Fluency in English and Cantonese is a plus, with occasional evenings and weekends expected.

Qualifications

  • 4+ years of experience in event support, project coordination, operations, hospitality, production, marketing, administration or similar roles.
  • Strong project management and time management skills in a fast-paced environment.
  • Excellent communication and interpersonal skills; fluency in English and Cantonese is a plus.
  • Adaptable, calm, solutions‑oriented and detail‑oriented; able to handle unexpected challenges.
  • Willing to learn and work flexible hours, including evenings/weekends.
  • Experience in event production or venue operations is a plus.

Responsibilities

  • Support event planning, timelines, checklists, run sheets, schedules and action plans.
  • Coordinate venues, layouts, equipment, transport, deliveries, storage, registration, signage, catering, security and other requirements.
  • Communicate with suppliers, contractors, venues, production teams, caterers, entertainers and event partners.
  • Assist with quotations, purchase requests, invoice follow-up and events cost tracking.
  • Support on-site setup, guest registration, event operations, programme timing, troubleshooting and pack-down.
  • Maintain events briefs, contact lists, floor plans, inventory lists and operational documents.
  • Keep internal teams and external partners updated on deadlines, changes, risks and outstanding actions.
  • Prepare contingency plans for delays, weather, equipment issues and supplier changes.
  • Support post‑events debriefs, supplier follow‑up, inventory returns and reporting.

About The Role

Preface is looking for an organised and hands‑on Events Coordinator / Events Assistant Manager or Manager to support the plannings, logistics and on‑site execution of events. This role is ideal for someone who enjoys coordinating people and suppliers, managing details, solving problems and making sure events run smoothly from set‑up to pack‑down.

What You’ll Be Doing
  • Support event planning, timeslines, checklists, run sheets, schedules and action plans
  • Coordinate venues, layouts, equipment, transport, deliveries, storange, registration, signage, catering, security and other relevant requirements
  • Communicate with suppliers, contractors, venues, production teams, caterers, entertainers, technicians and event partners
  • Assist with quotations, purchase requests, invoice follow‑up and events cost tracking
  • Support on‑site set‑up, guest registration, event operations, programme timing, troubleshooting and pack‑down
  • Maintain events briefs, contact lists, floor plans, inventory lists and operational documents
  • Keep internal teams and external partners updated on deadlines, changes, risks and outstanding actions
  • Prepare practical contingency plans for delays, weather, equipment issues, supplier changes and other on‑day challenges
  • Support post‑events debriefs, supplier follow‑up, inventory returns and reporting
What We're Looking For
  • 4+ years of experience in event support, project coordination, operations, hospitality, production, marketing, administration or similar roles
  • Strong project management and time management skills with the ability to multitask and meet deadlines in a fast‑paced environment
  • Excellent and confident communication and interpersonal skills; fluency in English and Cantonese is a plus
  • A practical, calm and solutions‑oriented approach to unexpected challenges; Creative problem‑solver with a keen eye for detail and attendee experience
  • Adaptable, comfortable with ambiguity and willing to learn
  • Ability to work flexibly, including occasional evenings/weekends for events
  • Experience in event production, venue operations, hospitality, marketing PR, communications, brand activations is a plus. Agency experience is a plus, not a requirement. Experience from operations, customer service, administration, retail, hospitality, student organisations or community events is also valued
