Assistant Corporate Services Officer – Fire Safety & Security
Main Duties
Fire Safety Management
- Assist in the implementation and administration of the Company's Fire Safety Guidance Procedures
- Coordinate routine inspections, testing and maintenance of fire service installations and equipment
- Support annual inspections, certifications, and statutory examinations of fire safety systems by registered contractors
- Maintain fire safety records, maintenance logs, certificates, and regulatory documentation
- Assist in organizing emergency response drills and exercises and fire safety awareness programmes for employees and contractor
- Monitor contractors perform fire safety related work and ensure compliance with applicable safety regulations
Security and Access Control
- Manage the Permit Office in accordance with the security program
- Administer facility access control, visitor management and security clearance procedures
- Process, issue, renew and maintain access cards, visitor passes, permits and security records
- Monitor compliance with security procedures and investigate irregular access or security incidents
- Coordinate with security service providers to ensure effective security coverage of company premises
- Maintain records and reports related to security operations, incidents and access control activities
- Support the TRA Security Manager to implement the Tenant Restricted Area Security Program (TRASP)
Facilities and Corporate Services Support
- Coordinate corrective and preventive maintenance works related to facilities, fire protection equipment and security systems
- Liaise with internal departments, contractors and service providers on maintenance and operational matters
- Assist in managing service contracts, quotations, purchase requisitions and contractor performance monitoring
- Support office accommodation management, staff facilities and corporate services projects
- Arrange routine inspections of company premises and follow-up on rectification works
- Communicate service interruptions, maintenance activities and facility-related notices to stakeholders
Regulatory Compliance and Liaison
- Assist in maintaining licenses, permits and statutory records related to fire safety and security requirements
- Liaise with government authorities, regulatory bodies, airport authorities and external auditors when required
- Ensure all documentation is properly maintained for audits, inspections and compliance reviews
- Support investigations and reports related to fire safety, security incidents and facility-related matters
Administrative Support
- Prepare reports, presentations, correspondence and management summaries
- Maintain departmental filing systems, databases and records
- Support RFQ, invoice verification and procurement administration
Qualifications and Requirements
- Diploma or Higher Diploma in Facility Management, Fire Safety, Security Management, Building Services Engineering, Property Management, Facility Management or related disciplines
- Relevant professional qualifications in Fire Safety, Occupational Safety, Security Management or Facility Management is an advantage
- Registered Fire Service Installation Contractor (knowledge/experience) or equivalent fire safety training
- Holder of Security Personnel Permit or First Aid Certificate or Occupational Safety and Health qualifications is an advantage
- Minimum 2 years' relevant experience in fire safety, security operations, facilities management, property management or corporate services in industrial properties
- Experience in managing contractors and service providers is preferred
- Experience in airport, industrial, commercial building or aviation environments would be an advantage
- Good knowledge of Hong Kong fire safety regulations, building services and security operations
- Familiarity with access control systems, CCTV systems and visitor management processes
- Understanding statutory compliance, contractor management and workplace safety requirements
- Strong coordination and organizational skills
- Good communication and interpersonal skills
- Ability to work independently and handle multiple assignments simultaneously
- Detail-oriented with good record management and documentation skills
- Proficient in Microsoft Office applications, including Word, Excel and PowerPoint
- Good command of written and spoken English and Chinese (including Putonghua)
- Responsible, proactive and service-oriented
- High integrity with strong awareness of confidentiality and security requirements
- Team player with a positive and professional attitude
