Company Overview
Our client is a growing and dynamic business seeking a reliable and organised Administrative Officer to support the day to day operations of the company and its subsidiaries. This is a hands on role suited to someone who enjoys taking ownership of administrative functions, maintaining accurate records, and ensuring business operations run smoothly. The position may also involve occasional client reception duties, making professional presentation and strong interpersonal skills important.
Responsibilities
- Provide day to day administrative support, including document management, filing, courier arrangements, office supplies, and general office operations.
- Maintain company records, contracts, licences, and corporate documents, ensuring information is accurate and up to date.
- Support office administration, including supplier coordination, procurement, equipment maintenance, and office related matters.
- Assist with HR administration and recruitment processes, including employee records, onboarding, offboarding, interview scheduling, and candidate coordination.
- Coordinate meetings, prepare materials, track action items, and support internal communication and reporting.
- Assist with finance administration, including maintaining invoices, receipts, reimbursement records, and supporting documentation.
- Provide general business support and assist with client reception duties when required.
- Handle confidential information professionally and accelerate important or sensitive matters promptly.
Requirements
- Minimum 3 years of administrative, office support, or similar experience.
- Strong organisational skills with excellent attention to detail.
- Able to work independently and take ownership of administrative responsibilities following onboarding.
- Reliable, proactive, and capable of managing multiple priorities effectively.
- Professional presentation and strong interpersonal skills.
- Comfortable interacting with clients, visitors, and external stakeholders when required.
- Good communication skills in Cantonese, strong fluency in Mandarin is required, with good English is preferable, with the ability to handle day to day correspondence and communication.
- Proficient in Microsoft Office applications including Word, Excel, and Outlook.
- As you will be sitting at reception it isimportantthat you provide a presentable and professional image to clients.
