Our client, a leading financial services firm, is seeking a Commercial Assistant to join their UK Support Team based in London. This role supports the sales and servicing process for frontline Partners, Financial Advisers (FAs), Private Client Managers (PCMs), and their clients in the UK. The purpose is to ensure the frontline team has the information and support they need to manage new business and deliver an exceptional client service. While the primary focus is client services, this role also involves supporting the operational day-to-day running of the London office.
Supporting UK Partners, FAs, and PCMs in their roles, including:
Obtaining valuations and performance data
Printing and collating client reports/application packs
Liaising with providers and clients as needed
Preparing and actioning required paperwork throughout the client journey, including:
Working with teams across the business to process dealings, withdrawals, applications, bereavements, power of attorneys
Drafting letters of engagement and authority
Raising and managing invoices
Managing client data on XPLAN, including:
Maintaining accurate and up-to-date records
Data entry on behalf of Partners, FAs, and PCMs
Conducting audits and supporting ad hoc data projects
Handling incoming and outgoing post and courier arrangements
Resolving client and adviser queries via post, email, and phone
Task, inbox, and workload management
Providing general office support such as:
Answering phones, managing reception, booking meeting rooms
Office supplies management
Health and safety responsibilities
Ad hoc office projects
Applicants should have one of the following:
A diploma from a recognised institution
A-level education with relevant work experience
An industry qualification such as the IOC or IMC
The successful candidate will demonstrate:
A competent level of IT literacy and the ability to quickly learn and adapt to various systems and platforms
At least 2 years’ experience in IFA administration, including:
Supporting financial advisers with client instructions
Knowledge of ISAs, GIAs, pensions, offshore bonds, and trusts
Familiarity with UK financial regulation, including GDPR and consumer duty
Desirable experience includes:
Proficiency with XPLAN
Experience using investment platforms such as Transact, 7IM, and Fidelity
Relevant industry qualifications such as IOC/IMC
Previous office administration experience
