Role Brief

We are looking for a reliable, energetic team-player with a can-do attitude with experience in operational or coordination environments and is comfortable handling administrative tasks with aspects of customer service and client excellence. This is a fast-paced role with a mix of proactive and reactive activities. The right candidate will be able to juggle multiple priorities and work well under pressure and have the proven ability to thrive in a team-orientated environment whilst showing individual initiative.

Responsibilities

  • Be able to represent Spectrum.Life and act on behalf of our major partners to represent at the highest level of customer service
  • Excelling at First Class Customer Support
  • Liaising with Customers, members, service providers and both internal and external stakeholders on an upcoming deliverable
  • Responding to queries via phone and emails
  • Holding video meetings with your clients and maintaining positive relationships and being the primary point of contact
  • Handing with email communications from stakeholders of all levels, responding in line with Service Levels and escalating in line with process
  • Branding and distribution of event content.
  • Setting up booking widgets, landing pages and sending content to client to advertise event
  • Updating and sending content to service providers
  • Allocation, coordination and scheduling of Wellness Experts and resources for events, popup days and clinics
  • Pre and post event checks with Experts and client
  • Update CRM and other databases to ensure that all relevant activity and information such as client communication is current and accurate at all times.
  • Digital support regarding Websites & Internal Digital Platforms where required
  • Creating and managing the scheduling calendar for events
  • Responding to queries via phone and emails
  • Liaising with clients, stakeholders and suppliers
  • Monitor SLAs and ensure the correct actions are taken to safeguard the SLA.
  • Be an advocate of Wellbeing services by active participation in team meetings, continuous process review, innovation and ideas for service improvements to ensure continuing development of the service
  • Working in close co-ordination with different teams within Wellness Delivery Department and supporting account management and sales team to ensure client requirements are delivered.
  • Liaise relevant contacts and service users to facilitate and manage service appointments and deal with enquiries, liaising with experts as appropriate
  • Supporting team members with daily tasks and other administrative duties when required.
  • Coordinating and delivering on Customer requirements which should result in retention of a high standard
  • Managing and escalating complaints and communicating successes
  • Managing service quality delivery with service providers.
  • Scheduling, communicating and scheduling events for Customers
  • Event planning and coordination, small or largescale
  • Supporting the business’ goals and milestones as required
  • Process development and maintenance

Requirements

  • A Customer Focused Attitude to deliver best in class
  • Be able to represent Spectrum and our Key Partners in interactions with clients and stakeholders of multiple levels
  • Experience working in a similar role/or industry.
  • The ability to work on own initiative and to complete tasks efficiently and to a high standard of accuracy.
  • A proven ability to work in a fast-paced environment with a varied and challenging workload.
  • Excellent administrative and customer service skills.
  • A problem solver and a self-starter
  • Experience using CRM/Salesforce or task management software
  • Excellent verbal and written communication skills
  • Strong operational background

Desirable

  • A degree is not essential, but you must have the ability to learn the technical skills, build relationships, ensure effective communication, and adopt a team approach.
  • Proficient in MS Office and experience with ADOBE
  • Experience in Event Planning
  • A keen interest in wellbeing and supporting client’s wellbeing agenda’s
