Job summary

Airedale NHS Foundation Trust in Keighley is seeking a motivated Ward Clerk (Band 2) to support the Haematology & Oncology Day Unit. The role is 15 hours per week, Thu & Fri, 8-4, part-time, with duties spanning patient reception, administration, and records management.

You will handle admissions, discharges, appointments, and maintain patient confidentiality within a demanding hospital environment. Prior admin experience and computer literacy are essential.

Qualifications

  • GCSE English & Maths or equivalent.
  • OCR/RSA II qualifications or equivalent in Word Processing.
  • Experience of maintaining administration systems.
  • Experience of working with the public.
  • Experience of working in an office environment / Reception - clerical duties.
  • Understanding of the NHS Constitution and confidentiality requirements.

Responsibilities

  • Assist in the welcome and reception of patients and visitors into the unit, maintaining a courteous and professional manner at all times.
  • Handle telephone calls and face to face enquiries from relatives, hospital staff and members of the public in a constructive and sympathetic manner referring to the appropriate person where necessary.
  • Use computer skills and other clerical activity to perform the correct procedure for admission and discharges of patients and make arrangements for follow up appointments in the manner laid down by the Trust.
  • To be responsible for any information entered onto the computer whilst carrying out the duties required by the Trust, and maintaining confidentiality.
  • Report any errors, duplications or omissions in patient information to the appropriate department and carry out the correct procedure to rectify the problem as per Trust policy.
  • Ensure that patients’ medical records are available on the unit, obtaining these where necessary from other departments according to Trust policy. Ensuring notes are traced to the correct location.
  • Ensure patient confidentiality/privacy is maintained at all times in accordance with Trust policy.

Job overview

An opportunity has arisen for a motivated, enthusiastic and flexible individual to join our team working as a Ward Clerk covering the Haematology & Oncology Day Unit . The hours of work are as stated above .

You will play a key role in the day to day running of the HODU reception ensuring that the administration tasks for patients is completed in a timely manner. You will be expected to carry out a wide range of clerical and administrative duties. Previous administration experience essential, as is computer literacy and customer service skills.

You must be able to work with discretion and maintain confidentiality at all times. You will be well organised and able to use your own initiative in a demanding environment, have the ability to work under pressure and be flexible. You should possess excellent communication and interpersonal skills, and have an good understanding of Patient Administration systems but not essential as training will be given.
