Job summary

Koala FX LTD is seeking an organised production coordinator to support artists under the guidance of producers. You will follow shots and assets through the pipeline, track briefs and notes, and ensure smooth operation of all production processes in a fast-paced studio environment.

This role requires meticulous attention to detail, strong scheduling and multitasking skills, and clear communication across departments.

Qualifications

Responsibilities

  • Material Organisation: Assist with organising materials, reports, and references from the shoot.
  • Workload Planning: Plan workload with the VFX Supervisor and Production Director.
  • Schedule & Task Overview: Maintain a daily overview of the producers' schedules and planned tasks.
  • Team Support: Prepare and provide necessary elements and resources for the team.
  • Validation Tracking: Organise and track validations and approvals.
  • Artistic Team Management: Monitor deadlines and adjust schedules as necessary.
  • Interdepartmental Communication: Facilitate communication across departments.
  • Progress Reporting: Prepare daily progress reports including tasks and issues.
  • Expense Monitoring: Monitor departmental expenses to stay within budget.

Job description

We are looking for an organised and methodical individual to help coordinate artists under the guidance of our producers. You will follow shots and assets as they move through our pipeline, ensuring that all briefs and notes are properly tracked and communicated within the team, and helping to ensure the seamless operation of all production processes.

The role requires maintaining the efficiency and accuracy of supervisor and client notes on a project-by-project basis. Communicating with multiple people across different departments requires strong interpersonal skills, confidence in multitasking, as well as excellent time management and scheduling abilities.

This position is well-suited to someone with meticulous attention to detail who can thrive in a dynamic, fast-paced environment.

Responsibilities:
  1. Material Organisation: Assist with organising materials, reports, and references from the shoot that are essential to the work of our artists.
  2. Workload Planning: Collaborate with the VFX Supervisor and Production Director to plan the workload for assigned departments.
  3. Schedule & Task Overview: Maintain a daily overview of the producers' schedules and planned tasks, ensuring the efficient use of time and resources.
  4. Team Support: Prepare and provide the necessary elements and resources for the team, ensuring the smooth and efficient running of day-to-day operations.
  5. Validation Tracking: Organise and track validations, ensuring that all necessary approvals are obtained in a timely manner.
  6. Artistic Team Management: Monitor deadlines for each assigned task, carry out daily checks, and adjust schedules as necessary.
  7. Interdepartmental Communication: Facilitate communication between production and artists, and help maintain clear communication across all departments.
  8. Progress Reporting: Prepare daily reports on task progress, including tasks to be completed, in progress, and remaining, as well as validations and any issues within the departments.
  9. Expense Monitoring: Monitor current and upcoming departmental expenses to ensure they remain within the allocated budget.
