Job summary

Sussex Community NHS Foundation Trust is seeking an Admin Lead to oversee administrative support for the Urgent Treatment Centre in Crawley and to supervise the admin teams at Horsham and Bognor MIUs. The post involves ensuring efficient diary management, data protection compliance, and robust administrative processes across the UTC and associated units.

Qualifications

• Experience in administrative leadership within healthcare
• Diary management and meeting facilitation experience
• Strong data protection and risk management knowledge
• Proficient in maintaining personnel data and Excel databases
• Experience with IT systems in UTC/MIU environments

Responsibilities

• Provide general secretarial support and training within the team.
• Manage team diaries and provide administrative support for the service.
• Oversee team diaries, lead diary management, organise meetings, prepare agendas, arrange venues, and take minutes.
• Organise administration for the department and delegate to other admins.
• Manage staff personal files to ensure data protection and risk management; ensure registrations are up-to-date.
• Maintain Excel databases for salaries, leave, sickness, absences, training and related data.
• Update UTC administration processes, crib sheets, local service directory, UTC pathways, and train staff on IT systems.
• Ensure performance data is produced and sent as required.
• Work with finance on income generation tasks.
