Job summary

IKEA Milton Keynes is looking to welcome a Unit Facility Management Specialist. The role focuses on creating a safe, compliant, and efficient environment, coordinating tasks, managing budgets, and ensuring top-notch facility services.

You’ll manage FM operations, collaborate with internal teams and external suppliers, and support tendering, budgeting, and planning. The position requires leadership, CAFM experience, and a passion for sustainable facilities.

Qualifications

• Knowledge of plan, organise, and manage costs, and mitigate risks.
• Understand FM scope, delivery model, work order management, contract & supplier management, with hard FM experience (Heating & Cooling, Electrics, plumbing).
• Sustainability in FM: energy, water, waste, climate-positive operations.
• Analytical mindset with attention to detail and strong reporting to deliver unit KPIs.
• Prepared to lead tasks, be ambassador in FM, collaborate, be service-minded and uphold IKEA culture.
• Experience using CAFM systems and RAMS.

Responsibilities

• Manage FM services to ensure safety, compliance, maintenance, and improvements for a safe environment.
• Coordinate tasks with internal teams and external FM suppliers & service providers, and report to the Unit FM Manager.
• Support tendering, budgeting, and business planning processes.
• Ensure compliance with regulations, collaborate with 3rd parties, and provide technical support for FM operations and projects.
• Coordinate and execute internal FM checks and audits/certifications within the FM scope.
• Inspect FM services, administer CAFM, IWAY maintenance and spot checks to maintain FM excellence.
• Coordinate and produce relevant reports within the FM scope.
• Support tendering for new FM providers, assisting during site visits.
• Contribute insights to goals, budgeting, and annual business plan in the unit.
• Assist in controlling costs through lean, simple, cost-conscious working methods.
• Follow up permits, licenses, certificates, and reporting to stay compliant with local and international regulations.
• Collaborate with 3rd parties regarding FM services and property assets to ensure regulatory compliance.
• Provide subject matter expertise and technical support in daily FM operations and projects.
• Participate in FM-related projects, large construction, asset management, or local rebuilds, and manage as-built documentation.
