Job summary

XPO Logistics in Banbury is seeking three talented Transport Coordinators for a full-time, permanent role. You will coordinate outbound fleet and subcontractors, ensuring on-time deliveries and accurate data across transport systems.

Working Monday to Friday with shifts 06:00–14:00, 10:00–18:00 or 12:00–20:00, you’ll enjoy a salary of up to £31,500 and 25 days’ holiday (plus bank holidays). Benefits also include discounts, cycle to work, and a company pension.

Qualifications

• Experience in a transport, logistics, or distribution office environment is preferred.
• Strong organisational skills and ability to manage multiple tasks.
• Confident using transport systems and MS Office; training provided.
• Good communication with drivers, subcontractors, customers and internal teams.
• Proactive attitude and willingness to learn supervisory duties.

Responsibilities

• Coordinate subcontractors and outbound fleet loading/deliveries, ensuring on-time execution and timely recording.
• Validate driver details and debrief drivers; ensure procedures are completed and recorded.
• Operate transport management systems and assist with problem-solving and resolution.
• Provide support with insurance matters and claims investigations.
• Assist with daily transport planning and scheduling per customer load requirements.
• Identify backhaul opportunities to improve fleet efficiency and reduce costs.
• Maintain accurate records across systems, files and platforms.
• Collaborate with Senior Management and customers regarding on-time delivery (OTD).

What You’ll Do On a Typical Day

Operations

• Coordinate subcontractors and core outbound fleet loading/deliveries using various communication tools, ensuring all jobs run on time and that any issues are communicated and recorded within the appropriate timescales.
• Coordinate security driver and load validation processes, ensuring correct subcontractor driver details are provided to customers and validating drivers upon arrival.
• Debrief drivers, ensuring all debrief procedures are completed and recorded where required.
• Operate transport management systems confidently across all aspects of transport operations, including problem-solving and issue resolution.
• Provide support with insurance and claims investigation

Planning

• Carry out daily transport planning activities, scheduling core fleet drivers and subcontractors in line with customer load requirements.
• Identify, record, and maximise backhaul opportunities to improve fleet efficiency and reduce costs.
• Maintain accurate and up-to-date records across all relevant systems, files, and operational platforms.
• Communicate effectively with the Senior Management Team and customers regarding OTD.
• Work closely with Warehouse Management to ensure efficient vehicle and trailer flow within the operation.

Administration

• Manage POD (Proof of Delivery) compliance for both inbound and outbound operations, ensuring all PODs are uploaded to the transport management system. Track and maintain records of outstanding PODs and communicate updates to relevant stakeholders.
• Manage/process purchase orders.
• Upload and maintain accurate agency and core employee timesheet records.

Health & Safety

• Ensure Health & Safety rules are followed by all personnel attending customer sites.
• Ensure weekly inspections and safety monitoring activities are completed in line with targets.
• Ensure all incidents and accidents are reported, fully investigated, and all documentation uploaded to the relevant systems.
• Coordinate and maintain records for contractor work permits.
• Attend customer and XPO QHSE meetings as required.

Maintenance, Compliance & Service Level

• Manage vehicle defects.
• Support the preparation of weekly KPI packs for customers.
• Coordinate and book fleet servicing, inspections, brake tests and MOTs in line with compliance requirements. Ensure all necessary documentation is maintained, filed correctly, and uploaded to company systems.
• Drivers’ hours and Working Time: monitoring infringements and raising them to the Transport Manager.

Human Resources and Teamwork

• Follow all HR procedures relating to disciplinary matters, absence management, and return-to-work processes.
• Demonstrate flexibility and a proactive approach to ensuring customer service and operational excellence are always maintained.
• Undertake any other reasonable duties as required.

What You Need To Succeed At XPO

• Experience in a transport, logistics, or distribution office environment (preferred but not essential)
• Strong organisational skills with the ability to manage multiple tasks
• Confident using transport systems and Microsoft Office (training provided where needed)
• Good communication skills with drivers, subcontractors, customers, and internal teams
• A proactive attitude and willingness to learn wider transport and supervisory duties
• Ability to work under pressure and meet daily deadlines
