Job summary

Frimley Health NHS Foundation Trust is seeking an organised, patient-focused administrator to join the Therapy Appointments Booking team. You will help coordinate outpatient therapy bookings, manage diary templates, register new patients, and handle all patient communications with care and confidentiality across Frimley Park Hospital and Fleet Community Centre.

Qualifications

  • NVQ Level 3 English / Maths or equivalent.
  • Reception or relevant customer experience.
  • Excellent communication skills.

Responsibilities

  • Provide service for booking patient Therapy appointments.
  • Based mainly at Frimley Park Hospital; occasional work at Fleet Community Centre.
  • Manage clinicians’ diary templates.
  • Register new patients.
  • Update patient information on systems to ensure timely data.
  • Book new and follow-up appointments per policy.
  • Provide admin support to Dietetic outpatients service.
  • Provide admin support to Therapy outpatients service.
  • Act as first point of contact for patients, staff and visitors.
  • Liaise with other departments to ensure seamless patient care.
  • Maintain high standard of customer care and patient confidentiality.

In this rewarding role, you will be responsible for managing referrals and coordinating outpatient therapy bookings, helping to keep services running efficiently and effectively. Working as part of the Appointments Booking Team, you'll liaise with patients, clinicians, and colleagues to ensure appointments are arranged smoothly and accurately.

Based across Frimley Park Hospital and Fleet Community Hospital, you'll become part of a welcoming team environment where collaboration, support, and professional development are encouraged.

Main duties of the job
  • As part of the Therapy Appointments Booking team, to provide a service for the booking patient Therapy appointments.
  • You will be mainly based at Frimley Park Hospital with the opportunity to work at Fleet Community Centre.
  • To be responsible for managing clinicians’ diary templates
  • To make sure that all new patients are registered
  • To update patient information on systems, as and when required to ensure timely accurate data.
  • To book new and follow up appointments in line with the Trust Access policy, ensuring patient choice and optimal use of staff diaries/clinics.
  • To provide administrative support to the Dietetic outpatients service.
  • To provide administrative support to the Therapy outpatients service.
  • To act as first point of contact (via reception and telephone) for all patients, staff and visitors to the therapy department.
  • To liaise with other departments to ensure seamless patient care.
  • To maintain an exemplary standard of customer care and patient confidentiality.
