Overview

The Team Assistant role at Havas London offers an exciting first step into advertising. This position is perfect for someone passionate about the industry and eager to learn by supporting diverse projects, engaging with clients, and becoming a key member of a collaborative team.

Key Responsibilities

Client Interaction

  1. Build and maintain positive relationships with junior and mid-level clients, ensuring smooth account management.
  2. Display genuine interest in the client's business and advertising industry trends.
  3. Attend client meetings, take detailed notes, and summarise action points clearly to assist the team in responding to client feedback.
  4. Assist in preparing presentations and documents, clearly communicating ideas and next steps.

Project Coordination

  1. Manage project timelines and keep the team updated on key deadlines and milestones.
  2. Organise and maintain accurate documentation and campaign resources, ensuring easy access for the entire team.
  3. Actively support the team in coordinating project activities and ensuring smooth execution.

Strategic Support

  1. Demonstrate excellent attention to detail with pre- and post-meeting preparations, including setting up meeting rooms, creating agendas, and managing follow-up actions.
  2. Assist in managing campaign files, documents, and server organisation, ensuring accuracy and thoroughness.
  3. Learn and utilise agency systems effectively to manage project documentation and resources.

Creativity

  1. Display genuine interest in producing high-quality work and understanding production techniques.
  2. Share informed opinions on creative work, supporting the team’s goal of delivering best-in-class campaigns.
  3. Stay updated on industry trends and insights, contributing fresh ideas during discussions.

Administrative Support

  1. Assist senior team members with diary management, scheduling meetings, and organising travel arrangements.
  2. Handle team expenses accurately and promptly.
  3. Prepare meeting rooms and supporting materials to maintain professional and efficient team operations.

What We're Looking For
