Job summary

Highland Fuels in Inverness is seeking a Stock Control Analyst to join the Finance team. You will support stock invoicing, reconciliation and month-end processes, helping centralise stock control for wet (fuel) and dry stock across sites.

You will build strong relationships with Site Managers, perform site visits, and contribute to process improvements, ensuring accuracy, compliance and timely reporting. The role requires travel to depots and filling stations as needed.

  • Invoice Matching & Financial Accuracy: Match bulk fuel receipts to supplier invoices and process against correct codes.
  • Fuel Bunkering Reconciliation: Reconcile weekly bunkering figures and verify against reports.
  • Month-End Stock Processes: Complete month-end activities and assist with stock valuations.
  • Stock Process Development & Business Improvement: Develop standardised stock control procedures and support improvement initiatives.
  • Site Collaboration & Operational Support: Build relationships with Site Managers and conduct site visits.
  • Compliance & Governance: Ensure compliance with financial controls and maintain audit-ready stock records.

We are looking for a detail-oriented and highly motivated individual to join our Finance team based in Inverness as a Stock Control Analyst. Reporting to the Stock Controller, this role will play a key part in supporting and driving stock management processes across the business.

We are looking for a detail-oriented and highly motivated individual to join our Finance team based in Inverness as a Stock Control Analyst. Reporting to the Stock Controller, this role will play a key part in supporting and driving stock management processes across the business. The successful candidate will be responsible for ensuring the accuracy of stock-related financial transactions, supporting month-end stock processes, and helping to develop and centralise stock control procedures for both wet stock (fuel) and dry stock operations. Working closely with Finance, Operations, Site Managers and site teams, the role will focus on improving consistency, compliance and efficiency across the Highland Fuels network. The position will involve building strong working relationships across multiple sites and may require travel to depots and filling stations to support stock control activities, process improvements and operational projects.

Main Purpose of the Role
  • Ensure accuracy in stock invoicing, reconciliation and financial processing.
  • Support the development and centralisation of stock control processes across wet stock and dry stock operations.
  • Work collaboratively with Site Managers and operational teams to improve stock accuracy, reporting and compliance.
  • Support the timely and accurate completion of month-end stock processes.
  • Identify and implement process improvements to enhance efficiency and control across the business.
  • Provide operational support and cover across the stock control function.
Key Responsibilities
  • Invoice Matching & Financial Accuracy
    • Match bulk fuel receipts in CODAS to automated and manual supplier invoices.
    • Process invoices using the correct nominal codes within Opera.
    • Review confirmation logs and investigate discrepancies.
    • Ensure stock-related invoices are processed accurately and in a timely manner.
    • Support accurate financial reporting through robust stock controls.
  • Fuel Bunkering Reconciliation
    • Reconcile weekly bunkering figures across filling station locations.
    • Cross-check activity against Key Fuels and UK Fuels reports.
    • Investigate and resolve discrepancies promptly.
    • Maintain complete and auditable reconciliation records.
  • Month-End Stock Processes
    • Complete stock-related month-end activities by working day four, including:
    • Finalising miscellaneous stocks
    • Duty reclaim calculations
    • HVO reporting
    • OAMPS stock valuation
    • Spot buy reconciliationsEnsure all received fuel is invoiced prior to month-end closure.
    • Support the production of accurate stock reports and valuations.
  • Stock Process Development & Business Improvement
    • Support the development and implementation of standardised stock control procedures across the business.
    • Assist in centralising stock management processes for both wet stock and dry stock operations.
    • Review existing processes and identify opportunities to improve efficiency, accuracy and control.
    • Work with operational teams to embed best practice stock management procedures.
    • Produce reports, analysis and recommendations to support continuous improvement initiatives.
    • Participate in stock-related projects and business improvement activities.
  • Site Collaboration & Operational Support
    • Build effective working relationships with Site Managers and site teams.
    • Conduct site visits to support stock investigations, process reviews and training activities.
    • Assist sites in resolving stock-related issues and implementing agreed procedures.
    • Promote consistency of stock management practices across all locations.
  • Compliance & Governance
    • Ensure compliance with company financial controls, policies and procedures.
    • Review automated inputs, reports and logs for accuracy and completeness.Maintain accurate and audit-ready stock records.
    • Support internal and external audit requirements where required.
  • Team Support & Cover
    • Provide cover for colleagues during periods of absence.
    • Assist the Stock Controller and Finance Director with stock-related projects and reporting requirements.
    • Adapt to changing business priorities and operational needs.
Essential Skills & Experience
  • Previous experience in stock control, inventory management or stock accounting.
  • Strong understanding of stock reconciliation processes.
  • Excellent attention to detail and numerical accuracy.
  • Advanced Microsoft Excel skills.
  • Strong analytical and problem-solving abilities.
  • Excellent organisational and time management skills.
  • Ability to work independently and collaboratively.
  • Strong communication and stakeholder management skills.
  • Ability to identify opportunities for process improvement and support change.
Desirable
  • Experience within the fuel, retail or distribution sectors.
  • Experience using CODAS and Opera systems.
