Role Summary

We are seeking an enthusiastic and motivated individual to join the Glaucoma Unit at Heavitree Hospital as a Service Coordinator in our ophthalmology team. This is a fixed-term contract to cover maternity leave.

In this important role, you will oversee the day-to-day management and leadership of the administrative team, ensuring the efficient and effective delivery of high-quality, patient-focused service. You will collaborate closely with clinicians, management, and administrative staff to provide exceptional customer care, while supporting the continuous development and improvement of our services.

Main Responsibilities:

  • Supervise and support the administrative team
  • Provide excellent customer care, including communication with patients and their relatives/carers
  • Promote a positive and supportive team culture
  • Book appointments for acute and urgent patients
  • Monitor ophthalmology waiting lists, escalating overdue patients as needed
  • Use data reports to track and manage waiting lists; report findings to the lead clinician and management team
  • Identify capacity issues and work proactively to support future service planning
  • Set up clinics in EPIC and update clinician rotas in MediRota
  • Escalate issues regarding clinic closures and coordinate with lead clinicians to arrange additional clinics where necessary
  • Attend and contribute to regular team and service meetings
  • Take minutes as needed
