Are you an experienced Maintenance, Facilities or PPM Coordinator who knows how to keep engineers, jobs, clients and deadlines moving?
C2 Recruitment is looking for an experienced Senior Work Coordinator to take ownership of the day-to-day coordination of planned and reactive maintenance works for a busy operational contract.
This is a key role sitting between the client, management team and field-based engineers. You'll make sure every job is properly planned, allocated, monitored and ultimately completed - with nothing falling through the cracks.
If you're highly organised, comfortable managing a busy workload and used to coordinating engineers across multiple jobs, this could be an excellent next move.
You’ll oversee Planned Preventative Maintenance (PPM), reactive maintenance, remedial works and smaller projects from the initial instruction right through to completion and close-out.
Your responsibilities will include:
Managing incoming client instructions, purchase orders, reactive call-outs and planned maintenance works
Creating and managing jobs through internal systems and client portals
Planning and scheduling engineers and field-based teams
Managing daily and weekly PPM schedules and ensuring works are completed on time
Monitoring reactive jobs from initial call-out through to repair and completion
Coordinating small projects and remedial works, including labour, materials, access and subcontractors
Reviewing engineer reports, service sheets, photographs and supporting documentation
Identifying additional or remedial works and ensuring they are correctly recorded and progressed
Monitoring outstanding and overdue jobs and chasing actions where required
Keeping clients updated on progress, delays, access requirements and completion
Making sure engineers have the correct information and instructions before attending site
Ensuring completed works are correctly closed on internal and client systems
Maintaining accurate records to support reporting, compliance and invoicing
Producing outstanding works reports, PPM performance information and client updates
We're looking for someone with around 3-5 years' experience within maintenance coordination, facilities management, engineering services or a similar operational environment.
You’ll ideally have:
Experience coordinating field-based engineers
Strong knowledge of PPM and reactive maintenance environments
Experience managing planned maintenance schedules and reactive works
Experience dealing with client instructions and purchase orders
Confidence using CAFM or job management systems
Experience monitoring jobs through to completion and close-out
Strong client communication skills
Excellent organisation and attention to detail
The ability to juggle multiple jobs and priorities without losing sight of the detail
Experience within rail, transport, facilities management or MEPF/building services would be particularly useful.
Knowledge of SFG20 schedules, asset registers, client portals, subcontractor coordination and electrical, mechanical, fire or building services maintenance would also be advantageous.
This isn't simply an administrative coordination role. You'll be central to the smooth running of a busy maintenance operation, with real responsibility for keeping work moving, supporting engineers and making sure clients receive the service they expect.
