Job description

We are looking for a Senior Portfolio Administrator to join our Portfolio Management team at a London Wealth Manager within their investment department. The postholder will provide administrative support to the Portfolio Managers and line manage a small team of Portfolio Administrators.

Key Accountabilities
  1. Work closely with team members and Portfolio Managers to understand, review, and improve administrative processes for efficiency and scalability.
  2. Lead the administrative support team, taking full ownership of admin-related tasks and line management responsibilities.
  3. Onboard new clients to the service.
  4. Monitor cash transactions.
  5. Manage the team inbox and handle inquiries.
  6. Place trades under the supervision of Portfolio Managers.
  7. Address queries from Investment Managers.
  8. Produce sample portfolios and presentations for clients.
  9. Assist with general administrative tasks.
  10. Update weekly and monthly reports.
  11. Prepare data for team and board meetings.
  12. Organize bulk journals for quarterly management fee rounds.
  13. Answer calls.
  14. Maintain high work volume, pursue continual improvements, and adapt to change.
  15. Share knowledge and support team goals.
Candidate Profile
  • Good standard of education (A-level or equivalent).
  • Approximately 3 years of administrative experience in Wealth or Investment Management, including staff supervision.
  • Proficient in Excel (intermediate level) and comfortable with numerical data.
  • Excellent verbal and written communication skills.
  • Highly organized with a keen eye for detail.
  • Proactive approach to work.
  • Proven experience in reviewing and improving processes.
