Job summary

Aztec Financial Services (Luxembourg) is seeking a Senior Fund Administrator on a temporary basis to perform day-to-day administration of fund structures under the guidance of a Client Relationship Manager.

You will administer funds, co-ordinate secretarial matters, and manage investor records, payments, and regulatory filings. The role offers in-house training and exposure to a dynamic, client-focused team.

Qualifications

• Minimum 3 years' experience in a fund administration or financial services environment.
• Ideally studying towards CGI Diploma level or equivalent.
• Solid financial services knowledge; supported via Aztec Academy.
• Strong computer literacy and numerical aptitude.

Responsibilities

• Administer a complex range of funds, management companies and structures; liaise with clients and intermediaries.
• Coordinate all company secretarial matters; prepare minutes for board/shareholder meetings.
• Process and coordinate routine and complex fund operations; ensure investor records and changes are maintained.
• Prepare manual/electronic payment instructions to settle fund expenses and maintain payment library.
• Train staff on electronic banking systems and assist with opening new bank accounts.
• Ensure regulatory and statutory filings are made in a timely manner.
• Manage the accounts distribution and filing process.

About the role:

Reports to Client Relationship Manager

We are seeking an experienced Senior Fund Administrator on a temporary basis, to carry out routine day-to-day administration of fund structures under the direction of a Client Relationship Manager.

Key responsibilities:

• Administer a complex range of funds, management companies and associated fund structures and liaise with clients and intermediaries as necessary
• Co-ordinate all company secretarial matters, including attendance and preparation of minutes for board and shareholder meetings
• Process and co-ordinate routine and complex fund operationsEnsure accurate investor records are maintained and process all investor changes / transfers thereon
• Prepare manual and electronic payment instructions to settle fund expenses and to ensure the maintenance of the electronic payment's library
• Ensure staff are trained on electronic banking systems and co-ordinate the opening of new bank accounts
• Ensure regulatory and statutory filings are made in a timely manner
• Manage the accounts distribution and filing process

Skills, knowledge, expertise:

• A minimum of 3 years' experience in a fund administration or financial services environment
• Ideally studying towards a relevant professional qualification (preferably CGI Diploma level or equivalent)
• Sound technical financial services knowledge (to be supported through the Aztec Academy)
• Computer literacy skills are essential
• Very good interpersonal skills are required to develop close working relationships with colleagues, clients and business contacts
