Job description

Medical Secretary - SAT 17 Cardiology Department

We have an exciting opportunity for a Medical Secretary within the SAT 17 Cardiology department. The post holder will be the point of contact for all administrative issues related to the patient's care pathway. Working as part of a team, they will provide expertise in managing the patient pathway from referral to treatment, ensuring smooth operations.

The post holder will ensure high levels of patient and clinician satisfaction by being accessible, customer-focused, and knowledgeable. They will follow Standard Operating Procedures (SOPs) to ensure tasks are completed accurately and within designated timescales.

Outpatient Pathway Responsibilities
  1. Process and log all referrals, including paper and Choose and Book, in accordance with Trust Access Policy and specialty SOPs.
  2. Schedule appointments for new and follow-up patients with appropriate clinicians, ensuring efficient use of capacity, and supervise staff to facilitate this. Offer patient choice where possible.
  3. Ensure all required diagnostics and investigations are requested and available before clinic days, including those at other Trusts.
  4. Coordinate appointments and procedures at other hospitals and organizations as needed.
  5. Record clinic outcomes accurately on PAS, including offsite clinics.
  6. Lead the completion and processing of clinic cancellation forms as per SOP.
  7. Reschedule outpatient clinics to meet waiting time targets.
  8. Utilize the Trust’s medical transcription system, ensuring urgent letters are processed promptly following SOPs.
  9. Collaborate with patient records staff, ward clerks, and other organizations to ensure all medical notes, referral letters, results, and discharge summaries are available for outpatient appointments, delegating tasks as necessary.
  10. Identify patients on cancer pathways and liaise with Cancer Trackers for appropriate handover.
