  • 1 year of office/administrative experience.
  • Bilingual EN/ES at level 9.
  • Ability to prioritize multiple tasks with interruptions.
  • Strong interpersonal skills with patients, providers, staff.
  • Basic knowledge of medical terminology.
  • Basic knowledge of Epic systems.

  • Verify/update patient demographics including contact, insurance, and income.
  • Notify patients of schedule adjustments and reschedule changes.
  • Coordinate appointments with Patient Benefits Coordinators as needed.
  • Manage scheduling queues (Cancellations/No-Show, Recall, Rescheduling, waitlist).
  • Provide outbound calls for registries/outreach.
  • Provide backup support to Front Office roles.
  • Duties may require evenings, weekends and holidays.

Job description

  • Manages the multi-line scheduling phone queue and transfers calls to appropriate personnel as needed
  • Schedules patient appointments for medical and integrated providers according to scheduling guidelines, appointment type, and time needed
  • Verify and update patient demographic information including contact information, insurance, and income verification
  • Notifies patient of schedule adjustments at direction of Supervisor including rescheduled and cancelled appointments. Updates the schedule for any changes
  • Assess patient's need to meet with the Patient Benefits Coordinator (PBC) regarding benefits and insurance options. Schedules appointments with the PBC as needed
  • Manage various scheduling work queues daily including: Cancellations/No-Show, Recall, Rescheduling and waitlist
  • Assess patient needs and coordinate scheduling with Patient Benefits Coordinators as appropriate
  • Provides outgoing calls related to registries and outreach for patients
  • Provides backup support to other Front Office positions as needed
  • Perform other duties as assigned
    High School Diploma or GED
  • One year of office, administrative, patient care, call center or customer service experience
  • This position is eligible for Bilingual Differential Compensation when an ALTA score of 9 is achieved
  • Bilingual (English/Spanish) speaking skills required at a level 9
  • Ability to prioritize work and handle a variety of tasks simultaneously, with frequent interruptions
  • Strong interpersonal skills with the ability to interact with patients, providers and staff in a professional manner
  • Basic knowledge of medical terminology preferred
  • Basic knowledge of the Epic systems preferred
  • Basic proficiency with a variety of computer programs including Word and Excel
  • Duties may require work during the evenings, weekends and holidays

Position Highlights
  • 1.0 FTE (40 hours per week)
  • $19.58-$23.98/hour DOE with the ability to go higher for highly experienced candidates
