Job description

Administrator & Scheduling Coordinator
Location: Eastleigh - Hybrid working
Salary: Up to £28,310 DOE
Contract: Temporary - 12 weeks
Hours: Full-time

Love keeping things organised, juggling priorities and making sure customers get a great service?

Moxie People is recruiting for an Administrator & Scheduling Coordinator to join the HomeCare team of a large, purpose-led housing organisation in Eastleigh on an initial 12-week temporary contract.

This is a busy, varied coordination role where great organisation really matters. You'll be helping to keep works moving, managing diaries, arranging appointments and making sure customers, surveyors and operatives know exactly what's happening and when.

The team supports damp, mould and disrepair works, so the work has a genuine impact on customers and the quality of their homes.

What will you be doing?

Working at the heart of a busy operational team, responsibilities will include:

  • Coordinating and managing diaries for operatives and surveyors, ensuring works are scheduled effectively and completed in line with KPIs and service standards.
  • Speaking directly with customers to arrange appointments, provide updates and make sure they receive a positive and professional service.
  • Liaising with surveyors, operatives, senior managers and subcontractors to keep works progressing efficiently.
  • Raising and scheduling jobs, prioritising activity and keeping an eye on work-in-progress dashboards.
  • Coordinating relevant documentation and surveys, including electrical, gas, EPC and asbestos information.
  • Raising purchase orders and supporting purchase ledger processes.
  • Maintaining accurate records and ensuring relevant certification and documentation is stored correctly.
  • Reviewing information and producing reports, identifying trends and opportunities for improvement.
What are we looking for?

Housing experience would certainly be useful, but strong transferable scheduling, administration and customer service experience will be equally interesting.

You could come from repairs, maintenance, property, facilities, construction, logistics, field services or another busy environment where you've had to coordinate people, appointments or workloads.

The key things we're looking for are:
  • Strong administration and organisational skills.
  • Experience managing a busy workload and competing priorities.
  • Confident customer service and communication skills.
  • Experience coordinating diaries, appointments, jobs or field-based teams.
  • Good Microsoft Office and database/system skills.
  • The confidence to communicate with customers, managers, operatives and other stakeholders.
  • A proactive approach - someone who spots what needs doing and gets on with it.
  • A genuine team mentality and willingness to support others.
The organisation

You'll be joining a values-led housing organisation focused on tackling homelessness, helping address the housing crisis and empowering communities. Collaboration, doing the right thing for customers and continuously looking for better ways of working are central to its culture.

Their values centre around making a difference, staying curious, achieving together, owning things openly and embracing possibility, so this will suit someone positive, accountable and comfortable working as part of a busy team.

What's on offer?

This is more than just a 12-week admin assignment, it's a great opportunity to get inside a large, established and genuinely purpose-led housing organisation, build valuable sector experience and make a difference to the service customers receive.

  • Salary up to £28,310 DOE
  • Hybrid working, combining home working with time alongside the team in Eastleigh
  • Initial 12-week temporary contract
  • The opportunity to gain hands-on experience within a major housing organisation
  • Exposure to repairs, maintenance, damp & mould, disrepair and wider property services - brilliant experience if you're looking to build a career in housing
  • A modern, collaborative working environment where colleagues are encouraged to work together, share ideas and improve how things are done
  • The chance to work for an organisation with a clear social purpose - helping tackle homelessness, improve homes and empower communities
  • A culture built around making a difference, achieving together, openness, curiosity and embracing new possibilities

This could be a particularly good opportunity for someone with strong transferable coordination experience who wants to get a foot in the door with a major housing organisation, or an experienced housing/repairs administrator looking for their next temporary assignment.
