Job Purpose: As a Sales Operations Specialist, you will perform a critical role in ensuring that client requests made to the client-facing Sales team and Local Concierge team are promptly and accurately arranged with our external suppliers and destination management companies (DMCs).You will also help shape the quality of experiences offered to clients by working closely and developing strong relationships with external suppliers and DMCs.Through your attention to detail and high level of organisation, our client's expectations will be met and exceeded at every touchpoint with The Thinking Traveller.
Reports To: Sales Operations Manager
Working Partnerships: Local Concierges, Sales team, Client Relations team, external suppliers and DMCs
JOB ACCOUNTABILITIES
Support for client requests
· Providing operational support to the Sales team and Local Concierge team by liaising with local suppliers and DMCs to establish availability, pricing and other relevant details relating to client requests for both in-villa services (cooks, massages, personal trainers etc.) and outside of villa services (car hire, transfers, excursions etc.)
· Once a booking is confirmed you’ll be responsible for ensuring that the relevant booking is completed correctly via our Bookings Quality Audit process, that our CRM system is kept up to date with the client’s preferences and requirements and that both TTT and our partners on the ground have the required details to ensure a problem free trip
· Assisting with organising special events, in-villa entertainment where requested, as well as a range of other ad hoc, client driven requests
· Responsible for setting and actioning reminders on our CRM systems for elements that can’t be confirmed at point of booking
· Upon the clients’ return, you will be responsible for checking invoices against what has been charged to the client, where requested
· Assisting with processing cancellation/postponement requests, keeping all relevant teams updated through the appropriate platform(s)
Experience Portfolio development
· Assisting the Sales Operations Manager with enhancing the portfolioof experiences and ensuring our products are in line with the market pricing, as well as with demand
· Supporting the Sales Operations Manager to onboard new experiences and services, researching, reviewing and liaising with potential suppliers, in line with TTT brand and customer expectations
· Building relationships with suppliers and DMCs to customise tours and experiences to provide unique itineraries to our clients, providing both positive and constructive feedback to continually enhance services offered
PERSON SPECIFICATION
· Proven experience in sales support, customer service or administrative roles is highly preferred, especially from within the travel industry
· A confident and clear communicator who is adept at working with a range of internal and external stakeholders
· A proven ability to achieve and exceed KPIs regarding attention to detail, work rate and speed of response
· A high degree of organisation and the ability to juggle multiple tasks and prioritise is essential due to the fast-paced nature of the role
· A problem solver who thrives when collaborating with colleagues whilst also being able to work autonomously
· Customer-oriented – you’ll be able to anticipate the expectations of a TTT client in order to exceed them
· Resilient to changes and setbacks, you’ll need the ability to stay motivated and focused particularly in the lead up to and during the peak travel season
· Open-minded and receptive to new ideas, with a willingness to improve knowledge and learn from experience
· Proficiency in MS Office suite (Outlook, Word, Excel) is essential
· Experience using a CRM system (Salesforce, Zoho, etc.) would be an advantage
· Proficiency in French, Italian and Greek would also be an advantage
