Job Purpose:

The Receptionist / Administrator at Nottingham counselling service is responsible for providing front-of-house reception cover and supporting administrative tasks during Wednesday and Thursday evening sessions. This role ensures the delivery of a professional, efficient, and welcoming service for clients, staff, and visitors, supporting the smooth operation of NCS services.

The Receptionist and Administrator, as part of the Service and Administration Team, for the delivery of a quality front of house service for our clients. You will handle enquiries (in-person, phone and email) in a professional and timely manner.

You will work alongside colleagues and volunteers in delivering a quality service whilst executing all administrative tasks to the highest standards.

Main Responsibilities:

Reception and Client Support:

Act as the first point of contact for visitors and clients during evening sessions.

Respond promptly and professionally to telephone, email, and in-person enquiries.

Liaise with clients and therapists regarding appointment changes, cancellations, and updates.

Assist with client allocation and onboarding, including processing referrals.

Administration:

  • Maintain accurate records and perform routine data entry tasks.
  • Generate reports on service usage and other data as required.
  • Coordinate therapy room bookings and manage the room schedule for evening sessions.
  • Ensure filing systems are organised and compliant with data protection regulations.
  • Provide administrative support and flexibility to assist the wider team as needed.
  • Person Specification:
  • Proven experience in a receptionist or administrative role.
  • Excellent verbal and written communication skills.
  • Strong organisational skills with a keen attention to detail.
  • Ability to manage sensitive information in a confidential manner.
  • Competent in Microsoft Office (Word, Excel, Outlook) and general IT applications.
  • Experience in a health, counselling, or voluntary sector setting.
  • Familiarity with client management systems.
