1x 20 hours Receptionist wanted at the Sternhall Lane Surgery

The Hurley Group is an NHS organisation that runs a number of GP practices, walk-in, and urgent care centres across London. We have been providing patient-centred care since 1969, working within some of the UK’s most deprived communities.

We are currently looking to recruit for the following position at our Sternhall Lane Surgery, on a permanent contract, working Monday to Friday.

Main duties of the job

Hours: 20 hours per week (0.5 WTE)

Site: Sternhall Lane Surgery

Work pattern can vary.

The successful candidates will have experience in a primary care setting, demonstrate excellent interpersonal and organisational skills, and be competent in Information Technology. You should be a team player, adaptable, and possess good communication skills, motivation, initiative, assertiveness, and a willingness to learn.

POST: Receptionist

LINE MANAGER/SUPERVISOR: Reception Manager

LOCATION: Sternhall Lane Surgery

JOB PURPOSE:

The role of the Receptionist is to assist patients in the easiest possible way to see a clinician. To facilitate this, the receptionist will ensure that:

I. Patient enquiries are handled courteously, efficiently, and with empathy.

II. Filing, record keeping, and the distribution of documents are undertaken efficiently and promptly.

III. Administration tasks are undertaken with care and attention to detail.

Main duties and responsibilities
  • Open and close premises punctually as required.
  • Check in and direct patients appropriately.
  • Take and record accurate messages and pass them on to relevant staff.
  • Keep the appointment book up to date and operate the appointment system as directed.
  • Arrange repeat prescriptions.
  • Liaise with outside organisations.
  • Arrange ambulance transport to hospitals.
  • Arrange interpreters as required.
  • Direct patients wishing to make a complaint to the appropriate practice procedure.
  • Collect specimens from patients, store correctly, and prepare specimens for daily collection.
  • Deal with telephone queries.
  • Maintain knowledge of telephone procedures during and after hours.
  • Provide cover for reception and administrative staff if required.
  • Maintain office supplies.
  • Open, distribute, and post mail.
  • Arrange non-routine appointments (secondary care).
  • Return records to the Health Authority.
  • Maintain age/sex and patient registers and disease index.
  • Scan workflow and distribute information to the team.
  • Action Lab Link results.
  • Complete relevant claim forms.
  • Participate in audits or projects as needed.
  • Prepare and tidy consulting rooms, including stocking stationery and equipment.
  • Ensure posters and leaflets are tidy and up to date.
  • Report safety and security issues in accordance with the Practice Health and Safety Policy.

Additional responsibilities include producing letters and reports promptly, handling enquiries courteously, typing referral letters, record keeping for referrals, managing referrals and invoices, preparing reports, liaising with outside agencies, and maintaining patient records.
