Job summary

CVS Vets Bracken Veterinary Practice in Bracknell is seeking a Veterinary Receptionist to join our busy team. You will handle calls, appointments, client registrations and insurance forms, ensuring a warm, professional welcome for every client.

The role is 16 hours per week on a permanent contract with a 3-day pattern and 1 in 4 Saturdays from 8am to 1pm, rotating with one nurse, one vet and a PCA. We offer a supportive team and opportunities within CVS Vets.

Qualifications

• Previous experience as a receptionist is a must.
• Experience in a veterinary setting is a bonus.
• Strong communication and genuine empathy required.

Responsibilities

• Manage incoming calls and schedule appointments efficiently.
• Respond to queries via phone, email, and in person with professionalism.
• Greet and register new clients, ensuring a warm welcome.
• Process and manage insurance forms.
• Dispense medications as required.
• Handle payments accurately and efficiently.
• Provide empathetic client support during distressing times.
• Use the in-house system to organise patient information.
• Liaise with veterinary practices to address patient needs and queries.
• Make necessary calls regarding debts, refunds and related matters.

Are you ready to put pets first? At CVS Vets, we make pets a priority every day!

We're on the lookout for a dynamic and passionate animal enthusiast to step into the role of a Veterinary Receptionist at our Bracken Veterinary Practice.

Location: Bracken Vets

Contract: Permanent

Hours: 16hrs

Shift Pattern: 3 days per week these being pre-determined and to work 1 in 4 Saturdays 8am to 1pm. Rota'd with one nurse, one vet and a PCA.

Based in Bracknell within walking distance of the town centre and with good transport links, we are a busy first opinion practice with a large team, offering routine appointments and surgery, x-rays' ultrasounds, dentistry and more.

With 7 vets, 4 nurses, 2 PCA's, 5 receptionists and our Practice Manager, there is no shortage of friendly faces within Bracken.

About The Role

• Manage Communication: Handle incoming calls and schedule appointments efficiently
• Inquiries Resolution: Respond to queries via phone, email, and in-person interactions with professionalism
• Client Reception: Greet and register new clients, ensuring a warm welcome
• Insurance Management: Process and manage insurance forms adeptly
• Medication Distribution: Dispense medications as required
• Financial Transactions: Process payments accurately and efficiently
• Emotional Support: Provide empathy and understanding to clients during distressing times, while maintaining professionalism
• System Utilisation: Organise patients using the in-house system efficiently
• Inter-practice Communication: Liaise with veterinary practices to address patient needs and queries
• Debt and Refund Management: Make necessary phone calls regarding debts, belongings, and refunds
• Client Care: Above all, ensure that every client feels welcomed and valued at our practice

Who We're Looking For

• Previous experience as a Receptionist is a must; experience in a veterinary setting is a bonus!
• Resilience and the ability to handle emotional situations with grace
• Strong communication skills paired with genuine empathy
• Outstanding customer service skills and experience with the public
• Positive attitude and superior teamwork abilities
• Proficiency in Microsoft Office and database systems
