PinPoint UK is a specialist Managing General Agent (MGA) distributing innovative insurance solutions across the property and casualty market. As part of AM Specialty Insurance Group, we operate within a high-performing, internationally connected environment. Our London office is expanding steadily as we build out our UK platform and deepen our market presence.

Role Overview

The Receptionist will be responsible for managing the front desk and office environment, ensuring smooth day-to-day operations and delivering a consistently high standard of service. This is a key support role that requires discretion, reliability, and strong interpersonal skills.

Key Responsibilities

Front of House Duties

  • Greet and welcome all visitors in a professional and courteous manner
  • Manage meeting room bookings and ensure rooms are prepared for client meetings
  • Answer and route incoming calls; manage general office inbox and reception communications
  • Receive and distribute post and deliveries
  • Maintain the reception area to a high standard

Administrative Support

  • Support staff with printing, binding, scanning, and courier arrangements
  • Assist with scheduling internal and external meetings
  • Order and manage office supplies, including stationery and kitchen provisions
  • Coordinate with building management and external vendors for office maintenance matters
  • Support onboarding of new staff (e.g., building passes, desk setup coordination)

Office Coordination

  • Assist with planning internal events, staff lunches, and external meetings
  • Monitor and manage visitor logs, ensuring compliance with office security protocols
  • Liaise with cleaners and ensure common areas are tidy and well-stocked
  • Provide ad hoc support to other administrative and operations staff as required

Experience & Qualifications

  • Previous experience in a receptionist, front-of-house, or office coordinator role (insurance or financial services experience preferred but not required)
  • Comfortable working in a fast-paced, professional office environment
  • GCSEs or equivalent required; further education or administrative qualifications advantageous
  • 28 days annual leave (plus UK public holidays)
