Job summary

Oxford Health NHS Foundation Trust is seeking a part-time Administrator to join the Community CAMHS Administration team. The role involves providing confidential administrative support to a fast-paced team and serving as a first point of contact for patients and the public.

The pattern is four days per week (Mon, Tue, Thu, Fri 08:30-17:15). You will handle letters, documents, meeting notes, emails, and patient record updates with discretion and accuracy.

Qualifications

  • GCSE English and Maths at grade C or above.
  • RSA typing or equivalent experience in administrative functions.
  • Experience using Microsoft Word/Outlook/Excel and data protection awareness.

Responsibilities

  • Provide comprehensive administrative support to the CAMHS team.
  • Greet patients and visitors with a polite, efficient reception service.
  • Type and distribute letters and documents accurately.
  • Provide secretarial support for meetings, including minute taking.
  • Manage emails and phone enquiries confidentially and efficiently.
  • Update patient records and ensure clinical databases are current.

Are you an experienced admin individual seeking a new role in mental health?

We are seeking an Administrator to work part-time as part of the Community CAMHS Administration team to provide an effective, comprehensive and confidential administrative service which may include the following tasks.

This is a varied admin role in a fast paced team, where you will work flexibly to support a wide range of professionals in CAMHS as well as being a first point of contact for the public and patients.

Please note:, the working pattern of this role is: Monday, Tuesday, Thursday, Friday 08:30 - 17:15 (so 4 days)

Main duties of the job
  • Provide an efficient and effective comprehensive administrative support to the team/service.
  • Provide a polite and efficient reception service to patients and visitors.
  • Accurately type and distribute letters and other documents as required.
  • Provide admin and secretarial support to team members and for meetings - including minute/note taking.
  • Respond to email, telephone enquiries and written enquiries using a high level of initiative and responding in a confidential and sensitive way and action in the appropriate way.
  • Update patient records as required and ensure that the Trust’s databases are up to date and all clinical data is entered appropriately

Knowledge
  • Excellent computer skills with good knowledge and experience of Microsoft Word, Outlook, Excel and MS Teams
  • Safeguarding knowledge of mental health issues Understanding of Data Protection/Information Governance
Qualifications - Academic/Skills/Professional
  • Educated to GCSE Level or equivalent, including English and Maths, Grade C or above
  • RSA in typing or similar, or previous experience of general administrative functions
Further Training or Job-Related Aptitude and Skills
  • Good interpersonal skills, face to face and telephone manner
  • Understanding of the need for confidentiality
  • Able to work under limited supervision
  • Ability to produce good quality correspondence and reports
Experience
  • Experience of working in an office environment, including telephone contact with both clients and professionals
  • Previous experience of working in a reception or client facing role
  • Experience of using healthcare patient record systems e.g. RIO
  • Previous NHS experience
  • Experience of working in healthcare administration or public sector administration
Personal Qualities
  • Able to communicate effectively with different audiences, including patients, their relatives, professionals and colleagues
  • Excellent telephone manner and professional approach
  • Able to work effectively within a team environment
