Job summary

Cross Keys Homes Limited in Peterborough seeks a skilled Property Sales Administrator for a full-time role (37 hours). Remote with travel as required.

You will support the Sales Team across a £12 million annual sales programme, handling Shared Ownership resales, staircasing and new build sales from enquiry to completion. You will prepare and maintain legal docs, run AML checks, coordinate valuations, track records, and manage inquiries across multiple channels.

Qualifications

  • Experience in a customer service environment delivering a professional responsive service.
  • Ability to manage detailed administrative processes accurately in a regulated environment.
  • Experience maintaining databases, trackers, and electronic filing systems with high accuracy.
  • Experience producing clear written correspondence and customer communications.

  • Excellent verbal and written communication, empathetic and professional.
  • Experience building internal and external relationships and working in a team.
  • Intermediate MS Office skills; able to analyse data for reporting.

Responsibilities

  • Act as a main contact for customers, solicitors, mortgage advisers, local authorities and agents to support sales through to completion.
  • Administer Shared Ownership resales, staircasing and new build sales from enquiry to completion.
  • Prepare and maintain sales and legal documents including information documents and completion paperwork.
  • Complete anti-money laundering checks and affordability verification per policy.
  • Coordinate mortgage valuations and completion arrangements within required timescales.
  • Maintain audit-ready customer records across systems and filing.
  • Handle inquiries across inboxes, calls, live chat, routing as needed.
  • Administer purchase orders, invoices and related financial records.
  • Support marketing, applicant management, viewings and property uploads.
  • Produce reports and KPI data for management and board reporting.
  • Provide wider administrative support to the Sales Team and identify process improvements.

The Vacancy

Are you an experienced administrator who enjoys keeping complex processes organised and delivering excellent customer service? Do you have exceptional attention to detail and the confidence to work with customers, solicitors, mortgage advisers and other partners? If so, we'd love to hear from you.

As our Property Sales Administrator, you'll provide vital support to our Sales Team and customers across a £12 million annual sales programme. You'll help progress Shared Ownership resales, staircasing and new build sales from initial enquiry through to completion, ensuring documents, records and regulatory checks are accurate, complete and handled within the required timescales.

This is a varied, customer focused role where you'll combine detailed administration with regular communication across the business and with external partners. You'll take ownership of your work, maintain high standards of integrity and accuracy, and work collaboratively to deliver a smooth and professional service for our customers.

What You'll Do
  • Act as a key point of contact for customers, solicitors, mortgage advisers, local authorities, developers and estate agents, supporting sales through to successful completion.
  • Administer Shared Ownership resales, staircasing, new build sales, transfers of equity and repossession transactions from initial enquiry through to completion.
  • Prepare, issue and maintain accurate sales and legal documentation, including Key Information Documents, Memoranda of Sale, formal offers and completion paperwork.
  • Complete anti-money laundering checks, customer profiling, affordability assessments and eligibility verification in line with policies and regulatory requirements.
  • Coordinate mortgage valuations, sales approvals and completion arrangements, ensuring documents and approvals are obtained within the required timescales.
  • Maintain accurate, complete and audit-ready customer records across sales systems, databases, trackers and electronic filing systems.
  • Manage enquiries through shared inboxes, telephone calls, live chat and other channels, resolving queries or directing them to the appropriate colleague.
  • Administer purchase orders, invoices, goods received notes, utility accounts, council tax notifications and associated financial records.
  • Support property marketing, applicant management, viewings, open days and accurate property uploads across sales platforms.
  • Produce reports, trackers and management information to support KPI reporting, pipeline management, operational performance and Board reporting.
  • Provide wider administrative and operational support to the Sales Team, including holiday cover, and identify opportunities to improve processes, data quality and efficiency.
What We're Looking For
Essential
  • Experience of working in a customer service environment and delivering a professional, responsive service.
  • Experience of managing detailed or complex administrative processes accurately and efficiently in a regulated environment.
  • Experience of maintaining databases, trackers, electronic filing systems and management information to a high degree of accuracy.
  • Experience of producing clear, professional written correspondence and customer communications.
  • Strong organisational skills, with the ability to plan, prioritise and manage competing deadlines while taking responsibility for delivery.
  • Exceptional attention to detail, with the ability to identify discrepancies and maintain data integrity across multiple systems.
  • Excellent verbal and written communication skills, with an empathetic, tactful and professional approach.
  • Experience of building effective internal and external working relationships and working collaboratively within a team.
  • Intermediate skills in Microsoft Office, particularly Word and Excel, and the ability to analyse and interpret data for reporting purposes.
  • The ability to work independently from home, use initiative, solve problems proactively and remain effective under pressure.
  • GCSE grade 4 or above, or equivalent, in Maths and English.
Desirable
  • A broad understanding of property sales, legal and mortgage processes.
  • A broad understanding of the affordable housing sector.
  • A-level qualifications or equivalent.
  • A full valid UK driving licence and access to a vehicle for occasional business use.
  • Willingness to work occasional Saturdays to support open days and other sales events, where required.
