So, who are we looking for?

As a Property Assistant, you will support the smooth management of a portfolio of properties.

Working alongside your colleagues and Property Managers, you will develop a detailed knowledge of each property and showcase your administrative skills, customer service excellence, and ability to build strong rapport with residents and clients.

You will also handle customer requirements as their first point of contact, including answering general enquiries, raising work requests, providing key documentation, and managing communications via the residents’ portal.

And what will you be doing?

No two days are the same, but here are some typical tasks. Even if you can't tick everything, we encourage you to apply if you believe you have what it takes:

  • Deliver exceptional customer service at all times
  • Answer calls and resolve issues where possible
  • Confidently handle requests such as fob requests, statement requests, access details, account balances, contracts, bank details, portal access, and maintenance updates
  • Manage estate inbox and customer service queue in Dwellant
  • Manage voicemail inbox
  • Chase open maintenance jobs with contractors
  • Issue letters via email and post
  • Deal with returned post
  • Raise POs where necessary
  • Assist with department operations as instructed by Senior PAs

Additionally, you will:

  • Answer overflow calls with first-time resolution where possible
  • Work with Property Managers to resolve complex queries
  • Conduct site inspections and follow-up actions
  • Ensure contracts are in place, including tenders and contractor documentation
  • Raise quote requests on Dwellant and chase responses
  • Maintain up-to-date documents in Dwellant (insurance certificates, etc.)
  • Check OOH reports and raise POs as needed
  • Handle breach of lease letters and processes
  • Respond promptly to calls and emails, providing regular feedback on outstanding issues
  • Have knowledge of Service Charges and Insurance Claims
