Job Summary and Key Responsibilities:

Reporting to the Team Manager/Head of Centre, Leaders are seeking a Property Administrator to join our dedicated and dynamic teams based in Bicester or Buckingham. Experience is beneficial but not essential. You will play a pivotal role in ensuring our customers receive the highest level of service and support. You will act as a point of contact for tenants and landlords, assisting with inquiries, booking appointments, and ensuring a smooth tenancy process from start to finish.

Key Responsibilities:
  • Provide excellent telephone and written communication throughout the tenancy.
  • Accept and understand tenants' maintenance requirements, providing triage to resolve issues.
  • If unresolved, communicate with the landlord with a solution and arrange works with contractors.
  • Update all parties regularly via phone, email, or text, and log notes.
  • Make regular 'well-being' calls to landlords.
  • Coordinate with the property management team to ensure works are completed and invoiced within 21 days, updating customers on progress.
  • Ensure all properties comply with mandatory legislation and company policies.
  • Work with Property Inventory Clerks to ensure inspections are completed and landlords and tenants are informed accordingly.
  • Contact managed landlords and tenants two weeks prior to vacation to explain check-out procedures and timelines.
  • Handle non-managed deposits under the No Deposit Scheme.
  • Follow the check-out process and communicate via the Depositary site.
  • Collaborate with team leaders and branches to understand reasons for lost units.
  • Maintain high communication standards with internal and external customers.
