Job summary

Balfour Beatty plc is seeking an organised Administrative Assistant to support project teams across UK locations, including Ayrshire project sites. You will manage emails, calls, diaries and meetings, and maintain filing systems to ensure smooth project delivery.

The role requires proactive communication, attention to detail and the ability to work independently with sound judgment, while travelling to site locations as needed. A full UK driving license is expected.

Qualifications

  • Experience in administration and project support.
  • Strong organisational skills with ability to manage deadlines.
  • Excellent verbal and written communication.

Responsibilities

  • Providing administrative support to project teams to ensure efficient project delivery.
  • Managing incoming emails, calls and correspondence on behalf of the team.
  • Maintaining accurate electronic and paper filing systems.
  • Organising meetings, preparing agendas and taking minutes where required.
  • Coordinating travel and accommodation arrangements in line with company policy.
  • Managing diaries and schedules to optimise team productivity.
  • Preparing documents, spreadsheets and presentations using Microsoft Office 365.
  • Processing expenses and supporting other project-related administration.
  • Supporting project inductions and site requirements as required.
  • Ensuring project documentation is accurate, controlled and up to date.
  • Assisting with project reporting and general office administration.
  • Supporting colleagues during periods of absence or increased workload

Who we're looking for

  • A collaborative approach with a willingness to support the wider team

  • Flexible and willing to travel to our Ayrshire project locations whenrequired
  • Full UK driving license
