Job summary

GET STAFFED ONLINE RECRUITMENT LIMITED is representing a leading independent event lighting and rigging specialist in Basingstoke. The Project Coordinator will join the Project Management team to assist with planning, delivery and coordination of multiple lighting and rigging projects, ensuring resources are allocated efficiently.

You will negotiate supplier prices, manage procurement, organise transport, produce RAMS, support the customer-facing team and provide out-of-hours cover.

Project Coordinator

Salary: £30,000 – £35,000 per annum

Location: Basingstoke

Operating from their flagship facility in Basingstoke, they supply and support productions across various sectors including live music, concert touring, festivals, corporate events, fashion, theatre, film premieres, broadcast, esports, and immersive experiences throughout the UK, Europe, and beyond. The Role

Working as part of the wider Project Management team and reporting to the General Manager, the Project Coordinator will assist with the planning, delivery and management of multiple lighting and rigging projects. The role involves the profitable and efficient coordination of all the resources required to deliver a project, including equipment and transportation. Supporting the customer-facing team, the successful candidate will be pivotal in equipment planning and allocation, as well as acting as a main technical point of contact for a project. Key Responsibilities
  • Locate and negotiate prices for orders of sub-hired equipment from the company's suppliers for specific projects.
  • Raise, process and track purchase orders to ensure timely procurement of equipment and services.
  • Coordinate transport and logistics, including booking vehicles and managing deliveries and collections to support project schedules.
  • Produce Risk Assessments and Method Statements (RAMS) for projects and adhere to the company's H&S Policy and current industry regulations and best practice.
  • Help match the client's and crew chief's requirements to available rental stock to maximise profitable delivery and execution on specific projects.
  • Provide out-of-hours support as part of the company call-out service, acting as the main point of contact for customers.
  • Monitor project progress and act as point of contact for the crew chief in the event of any changes or additional requests throughout the project.
  • Keep job files for each project updated and available for input from other team members.
  • Liaise with the Operations team, as required, to coordinate the equipment prep stage of a project within the company's warehouse.
  • Keep the Line Manager, Account Manager / Project Manager and company systems up to date with all aspects of client contact, project progress and prospective commercial contact, both positive and negative.
  • Manage any project changes and customer confirmations, collating and reporting all charges to be invoiced.
  • Provide support to the Directors in other aspects of the business's activity, as required.
  • Keep all work-related information confidential and act in a professional manner at all times, in all work and industry-social situations.
  • Identify any areas of the operation where training and additional skills may benefit the individual or the business.
  • Provide feedback to Directors on any areas of improvement, development or growth identified, taking a role within the team in problem-solving and contributing to team and business improvement.
  • Manage purchase and rental procurement efficiently, with the aim of maximising rental revenue and resulting profit margins.
  • Keep abreast of any technical issues and new products that will enhance the rental inventory and services offer.
  • Be aware of and comply with the company Health and Safety Policy, ensuring the company's policies, rules, procedures and obligations are observed in carrying out the above duties.
Ideal Candidate
  • Excellent organisational skills, with the ability to manage your own workload whilst working as part of a team.
  • Good communication and interpersonal skills.
  • Good working knowledge of a full range of current lighting and rigging equipment and practices.
  • Strong IT knowledge, with the ability to use spreadsheets and IT to monitor budgets, profit margins and the like.
  • Numerate and commercially astute, with an understanding of profitability and margin.
  • Strong attention to detail and accuracy.
  • Proactive and self-motivated, capable of working on your own initiative in a constantly changing, pressurised environment within a fast-developing company.
  • Able to manage a situation and effectively deal with both junior and senior colleagues.
  • Ability to travel within the UK, Europe and internationally, often at short notice.
  • Working knowledge of lighting networking systems and terminology would be an advantage.
  • Working knowledge of rigging and safe working practices would be an advantage.
