Job summary

GET STAFFED ONLINE RECRUITMENT LIMITED is seeking a Crewing Coordinator in Basingstoke to coordinate labour across productions and projects and provide administrative support to Directors, Project Management, Hire and Senior Management teams. This is a client-facing role where you will represent the company with customers, visitors and callers in a professional manner.

Responsibilities

  • Allocate crew and labour to projects and productions.
  • Book and schedule freelance sub-contractors and raise purchases orders.
  • Negotiate rates and terms with subcontractors and maintain records of training, qualifications and insurance.
  • Coordinate in-house technicians to projects and monitor hours/shifts.
  • Arrange hotels and transport for crew and staff.
  • Assist operations in booking casual labour for warehouse work.
  • Resolve discrepancies between subcontractor invoices and purchase orders.

Crewing Coordinator

Salary: £27,500 – £30,000 per annum

Location: Basingstoke

Operating from their flagship facility in Basingstoke, they supply and support productions across various sectors including live music, concert touring, festivals, corporate events, fashion, theatre, film premieres, broadcast, esports, and immersive experiences throughout the UK, Europe, and beyond. The Role

Reporting to the Crewing Supervisor, the Crewing Coordinator is a key support role at the heart of our client's operation, responsible for coordinating, allocating and booking the labour required across their productions and projects, while providing practical and administrative assistance to the Directors, Project Management, Hire and Senior Management teams. This is very much a "public face" of the company, so the successful candidate will deal courteously with customers, visitors and callers at all times, representing the business and its reputation impeccably. Key Responsibilities:
  • Allocate crew and labour to the company's projects and productions.
  • Book and schedule freelance sub-contractors for events, as directed by the Project Management team, including raising purchase orders and distributing work schedules.
  • Commercially allocate the appropriate skill and cost of sub-contractors to the correct project roles, ensuring the company neither overpays for over-skilled crew nor lacks the right skill and experience on-site.
  • Negotiate and agree rates and terms for tasks and projects with freelance sub-contractors.
  • Maintain and keep up to date the records of training, skills, qualifications and insurance for freelance sub-contractors.
  • Appraise new sub-contractors applying to provide services to the company.
  • Answer and handle incoming telephone enquiries in a professional and polite manner.
  • Coordinate and allocate the company's in-house production Technicians to projects, monitoring their working hours, shifts and breaks.
  • Book hotels and transport for crew and staff as required.
  • Assist the Operations Department in booking and allocating casual labour for warehouse operations as required.
  • Investigate and resolve discrepancies between sub-contractor invoices and company purchase orders.
Ideal Candidate:
  • Good communication and interpersonal skills, with colleagues, suppliers and customers alike.
  • An eloquent and energetic personality, able to negotiate and deal with suppliers and colleagues in a deadline-driven environment.
  • Previous experience in an office or administration role, or similar.
  • Natural commercial awareness, with the ability to see the bigger picture as well as an eye for detail and accuracy.
  • Strong team-working skills, with the flexibility to adapt within a small team and a rapidly changing environment.
  • Strong computer skills and the ability to pick up new programmes and procedures quickly.
  • Effective prioritisation and time management skills.
  • A positive, 'can do' attitude and willingness to assist in all areas of need within the company.
  • A good telephone manner and strong spoken language skills.
  • A methodical, motivated approach with a passion for accuracy and excellence.
  • Proactive and self-motivated, capable of working on your own initiative in a constantly changing, fast-developing company.
  • Experience in the technical theatre or event production industry would be an advantage.
  • A cheerful demeanour, engaging personality and sense of humour would be a huge advantage, along with a good level of personal presentation.
