Job summary

Portakabin Ltd in Aylesbury is seeking a part-time Project Administrator to support project delivery teams from the Aylesbury Hire Centre. The role focuses on administrative and documentation duties, keeping records accurate and ensuring communications flow to enable on-time, on-budget project delivery.

Ideal candidates will have admin/coordination experience, strong organisational skills and familiarity with SAP/CRM systems and MS Office.

Qualifications

  • GCSE level Maths and English at Grade 4 or above, or equivalent.
  • Experience in administrative or coordination role.
  • Good organisational skills with attention to detail and accuracy in documentation.

Responsibilities

  • Administer and maintain all project correspondence, documentation and records.
  • Assist in preparing project documents, including Method Statements, Risk Assessments, Drawings and Delivery Schedules.
  • Monitor project budgets by recording planned and actual costs.
  • Process project reports and initial assessments to help create accurate quotations.
  • Coordinate with internal teams, subcontractors and suppliers to meet timescales and costs.
  • Prepare and maintain accurate project documentation and reports for stakeholders.
  • Aid in coordinating site visits and resources.
  • Undertake other duties as required within the job scope.

Description

As a Project Administrator you will provide administrative and documentation support to project delivery teams, ensuring accurate records, effective communication and smooth coordination to enable projects to be delivered on time, to budget and to quality standards.

ESSENTAIL TO THE ROLE ***Good organisational skills with attention to detail and accuracy in documentation is key to this role***.

Role Details:

  • Pro-rata annual salary up to £26,000 - Depending on experience
  • Annual on target bonus of 2.5% depending on company performance
  • Role based: Aylesbury, Buckinghamshire, HP18 0XB
  • Contract type: Permanent – Part Time - 20 Hours Per Week
  • Annual leave of 25 days per annum (pro-rata) plus bank holidays and opportunity to buy an additional 5 days.
In this role you will be required to:
  • Administer and maintain all correspondence, documentation and records relating to project delivery, supporting compliance with company policies, procedures and health and safety requirements.
  • Assist in the preparation of project documentation, including Method Statements, Risk Assessments, Drawings and Delivery Schedules.
  • Support the monitoring of project budgets by recording and maintaining awareness of planned and actual costs.
  • Process project reports and initial assessments to assist in the creation of accurate project quotations.
  • Liaise with internal teams, subcontractors and suppliers to support the smooth coordination and completion of projects within agreed timescales and planned costs.
  • Prepare and maintain accurate project documentation and reports, providing stakeholders with clear updates on progress, risks and opportunities.
  • Assist with managing resources to ensure site visits are coordinated and planned efficiently.
  • In addition to the above, employees are required to carry out any reasonable request to perform other duties as may be required within the scope of the job role.
Our Ideal Candidate
  • Experience in an administrative or coordination role.
  • Good organisational skills with attention to detail and accuracy in documentation is key to this role
  • Knowledge of relevant Health and Safety requirements is desirable.
  • Experience of using business systems such as SAP or CRM software is desirable.
  • Competent user of Microsoft Office applications, particularly Excel, Word and PowerPoint.
  • Good communication skills, with the ability to liaise effectively with colleagues, suppliers and subcontractors.
  • Educated to GCSE level (including Maths and English at Grade 4 or above), or equivalent relevant experience.
