Job summary

Portakabin Ltd in Aylesbury is seeking a part-time Project Administrator to support project delivery teams with documentation, records and coordination to ensure on-time and on-budget results. You will administer correspondence, assist with Method Statements, Risk Assessments and delivery schedules, and liaise with internal teams, subcontractors and suppliers.

The role offers a pro-rata salary up to £26,000, a 2.5% annual bonus, 25 days leave (pro-rata) plus holidays, and a clear path for

Qualifications

  • Administrative or coordination experience.
  • Strong organisational skills and attention to detail.
  • Knowledge of Health and Safety requirements is desirable.
  • Experience using SAP or CRM software is desirable.
  • Proficient in Microsoft Office applications (Excel, Word, PowerPoint).
  • Good communication with colleagues, suppliers and subcontractors.
  • GCSEs including Maths and English or equivalent.

Responsibilities

  • Administer and maintain all project correspondence and records relating to project delivery.
  • Assist in the preparation of project documentation including Method Statements, Risk Assessments, Drawings and Delivery Schedules.
  • Support the monitoring of project budgets by recording and maintaining awareness of planned and actual costs.
  • Process project reports and initial assessments to assist in the creation of accurate project quotations.
  • Liaise with internal teams, subcontractors and suppliers to support the smooth coordination and completion of projects within agreed timescales and planned costs.
  • Prepare and maintain accurate project documentation and reports, providing stakeholders with clear updates on progress, risks and opportunities.
  • Assist with managing resources to ensure site visits are coordinated and planned efficiently.
  • Carry out other duties as may be required within the scope of the job role.

Description

As a Project Administrator you will provide administrative and documentation support to project delivery teams, ensuring accurate records, effective communication and smooth coordination to enable projects to be delivered on time, to budget and to quality standards.

ESSENTAIL TO THE ROLE ***Good organisational skills with attention to detail and accuracy in documentation is key to this role***.

Role Details:
  • Pro-rata annual salary up to £26,000 - Depending on experience
  • Annual on target bonus of 2.5% depending on company performance
  • Role based: Aylesbury, Buckinghamshire, HP18 0XB
  • Contract type: Permanent – Part Time - 20 Hours Per Week
  • Annual leave of 25 days per annum (pro-rata) plus bank holidays and opportunity to buy an additional 5 days.
In this role you will be required to:

  • Assist in the preparation of project documentation, including Method Statements, Risk Assessments, Drawings and Delivery Schedules.
  • Support the monitoring of project budgets by recording and maintaining awareness of planned and actual costs.
  • Process project reports and initial assessments to assist in the creation of accurate project quotations.
  • Liaise with internal teams, subcontractors and suppliers to support the smooth coordination and completion of projects within agreed timescales and planned costs.

  • In addition to the above, employees are required to carry out any reasonable request to perform other duties as may be required within the scope of the job role.
Our Ideal Candidate
  • Experience in an administrative or coordination role.
  • Good organisational skills with attention to detail and accuracy in documentation is key to this role
  • Knowledge of relevant Health and Safety requirements is desirable.
  • Experience of using business systems such as SAP or CRM software is desirable.
  • Competent user of Microsoft Office applications, particularly Excel, Word and PowerPoint.
  • Good communication skills, with the ability to liaise effectively with colleagues, suppliers and subcontractors.
  • Educated to GCSE level (including Maths and English at Grade 4 or above), or equivalent relevant experience.
