Job summary

This University near Goodge Street seeks a temporary Short Courses Coordinator to start ASAP for approximately 3 months while recruitment continues. The role is on-site daily with occasional evening commitments and very occasional Saturday mornings as required by the programme.

You will support a busy short courses team, coordinating administration, customer service and resources to ensure high-quality course delivery and participant experience.

Qualifications

  • Strong administration experience within a busy higher education environment.
  • Excellent organisational skills and the ability to juggle multiple projects simultaneously.
  • Exceptional attention to detail and accuracy.
  • Excellent customer service skills with confidence communicating by phone, email and face to face.
  • Strong IT skills, including Microsoft Office applications.
  • The ability to learn and adapt to new systems quickly.
  • Strong written and verbal communication skills.
  • The ability to work independently whilst contributing positively as part of a team.
  • A proactive and flexible approach, with the ability to respond effectively to changing priorities.

Responsibilities

  • Act as a first point of contact for participant enquiries by email, telephone and in person.
  • Deliver inductions for new participants and provide ongoing support throughout their learning journey.
  • Prepare course documentation, participant information and communications ahead of programme delivery.
  • Support tutors by preparing resources, including printing, formatting and photocopying course materials.
  • Ensure all course preparation is completed accurately and on time before programme launch.
  • Create and maintain participant records, enrolment information and supporting documentation.
  • Coordinate room bookings, online meeting links and course resources to support programme delivery.
  • Liaise with colleagues across departments to ensure a seamless participant experience.
  • Support administrative, reporting and financial processes within the team.
  • Deliver a consistently high standard of customer service and respond effectively to participant and tutor queries.

Job description

Are you a highly organised administrator who thrives in a busy, fast-paced environment? Do you enjoy delivering exceptional customer service, coordinating multiple priorities and ensuring everything runs smoothly behind the scenes?

This University, based near Goodge Street, are seeking a temporary Short Courses Coordinator to start ASAP for approx. 3 months whilst they look to appoint permanently to the role. Please note that you will need to on-site daily.

There will be occasional evening commitments (no later than 7.00pm) and very occasional Saturday morning working as required by the programme.

You will provide essential support to a busy short courses team during a period of recruitment. This is an excellent opportunity for someone who enjoys variety, takes pride in their attention to detail and can confidently manage competing demands whilst delivering a first-class experience for customers and stakeholders. The role supports the delivery of a broad programme of short courses and learning activities.

The Role

Working onsite as part of a collaborative team, you will be responsible for ensuring courses are fully prepared and delivered efficiently. You will support tutors, participants and internal stakeholders, helping to create a professional and welcoming learning environment. The position involves a combination of administration, customer service, operational coordination and resource management.
