Overview
The Production Assistant manages the administration and daily operations of the production and logistics department, reporting to the Production and Logistics Coordinator and Head of Department. This role oversees the entire product lifecycle, ensuring timely delivery of quality products at the right price, and maintains smooth processes and updated systems.

Production

• Support daily operations of the production team
• Serve as a key contact for suppliers, factories, and transport partners, resolving issues promptly and escalating when necessary
• Ensure all deadlines are met for on-time delivery and quality
• Maintain accurate production files including critical path, invoice tracker, RM trackers, Zedonk, range plan, product list, and barcode masterfile
• Raise production PO’s for RM and finished goods and place orders after approval
• Assist in meeting cost targets and seek cost-saving opportunities
• Create and communicate product barcodes to factories
• Perform pre-shipment QC checks, communicate feedback, and escalate issues with solutions
• Process invoices and report discrepancies
• Act as a brand ambassador and sustainability advocate

Logistics

• Coordinate with the team to obtain the best transport costs
• Update systems and schedules to forecast shipments accurately
• Organize shipping documents to ensure timely delivery
• Support wholesale orders and shipments

Raw Material Management

• Manage bulk RM orders and communicate with stakeholders
• Oversee trim orders post-approval
• Maintain fabric books for approvals and submissions

Product Management

• Maintain product information in systems post-production
• Update manufacturers on order, product, trim, or packaging changes

Sustainability

• Ensure suppliers adhere to sustainability and code of conduct guidelines
• Assist in managing excess stock to reduce waste

Skills and Experience

• Degree in fashion or business, or equivalent
• Experience in retail or fashion industry, including placements
• Teamwork and multitasking skills
• Familiarity with Google software and Zedonk preferred
• Proficiency in Adobe Illustrator and InDesign is a plus
• Attention to detail and organizational skills
• Proactive problem-solving and adaptability
• Positive attitude and goal-oriented mindset
• Ability to work independently
