Position: Private Client Legal Secretary/Front of House Assistant

Firm: Leading Legal 500 Firm

Hours: Mon-Fri 9-5 OR Mon-Tues 9-5

Are you a polished, proactive legal secretary with a warm and professional manner? Are you looking to join a prestigious Legal 500 firm known for excellence and client care?

Our client, a highly regarded Legal 500 law firm, seeks a Legal Secretary / Front of House Assistant to join their team in Henley-in-Arden. This role combines front-of-house duties with administrative support for senior fee earners.

Key Responsibilities:

Front of House Duties:

  • Welcome visitors professionally and warmly.
  • Prepare refreshments and ensure meeting rooms are ready.
  • Manage office supplies and coordinate bookings via the office diary.
  • Open and close the office as a trusted key holder.
  • Liaise with contractors and support office operations.
  • Handle post duties and local errands.

Legal & Administrative Support:

  • Support fee earners with audio typing and document production.
  • Draft correspondence and legal documents (Wills, LPAs, etc.).
  • Manage client data and files, draft engagement letters, and handle archiving.
  • Communicate professionally with clients via phone, email, and in person.
  • Schedule and prepare for meetings, assist with client onboarding.

Compliance & Office Management:

  • Assist with compliance documentation and liaise with the compliance team.
  • Support document management and data entry.
  • Manage document retrieval and posting slips.

Team Support:

  • Provide general administrative support across the office.

About You:

  • Experience as a legal secretary or in administration, preferably in Private Client.
  • Excellent organisational and typing skills.
  • Strong interpersonal skills and client service orientation.
  • Ability to handle varied responsibilities independently and in a team.
  • Proficiency in Microsoft Office.
  • Proactive and dependable with adaptability.
