Job description

Personal Assistant to Chief of Staff (9-month FTC)
Location: London (4 days on-site, 1 day from home)
Salary: £55,000

A brilliant opportunity has arisen for an experienced and adaptable Personal Assistant to join a dynamic, fast-evolving business within the insurance sector on a 9 month FTC to cover a period of maternity leave. This role will support the Chief of Staff directly while also working closely with the Executive Assistant to the CEO, offering a rare chance to operate at the centre of a growing, forward-thinking organisation.

This role is ideal for someone who enjoys variety, thrives under pressure, and takes genuine pride in keeping things running smoothly behind the scenes. The right candidate will be a natural problem-solver, a confident communicator, and someone who can manage changing priorities with ease.

What You’ll Be Doing:

  • Managing the Chief of Staff’s schedule and inbox, ensuring everything runs to time and nothing slips through the cracks.
  • Keeping key reports and documents on track, particularly those related to board and senior leadership activity.
  • Acting as a reliable first point of contact: handling calls, emails, and requests with professionalism and discretion.
  • Preparing for meetings - drafting agendas, pulling together materials, and sometimes taking notes and following up on actions.
  • Coordinating detailed international travel arrangements, including multi-stop itineraries and visa requirements.
  • Supporting events logistics, from tracking guest lists to assisting with delivery on the day.
  • Providing hands-on administrative support across a range of projects and internal initiatives.
  • Overseeing processes such as invoicing and approvals, ensuring deadlines are met and systems are kept up to date.
  • Maintaining confidentiality at all times and handling sensitive information with care.

About You:

  • You’ve previously worked in a PA role in a fast-paced professional services environment.
  • You’re someone who builds relationships easily - approachable, discreet, and professional.
  • Exceptionally organised, with a strong eye for detail and the ability to juggle competing priorities.
  • Comfortable using Microsoft Office (particularly Outlook, PowerPoint, Word, and basic Excel).
  • Calm under pressure, proactive and able to anticipate what’s needed before being asked.
  • You take ownership of your work, communicate clearly, and are happiest when part of a collaborative, supportive team.

This role offers exposure to senior stakeholders and the inner workings of a growing organisation, making it perfect for someone looking to deepen their experience and make a genuine impact.
