Personal Assistant

Swindon - Hybrid Working

As the Personal Assistant, you will perform more than administrative tasks; you will be the Executive’s “right-hand person” who enables them to advance company initiatives and goals. You will handle the day-to-day functions that support the Executive’s role, allowing them to focus on high-level leadership and strategy.

What you will be doing
  1. Providing daily administrative support to 2-3 TGJones Executive Directors and their teams, including arranging travel and accommodation, booking meeting rooms, managing emails, scheduling meetings, taking minutes, maintaining the Outlook calendar, and raising purchase orders.
  2. Managing HR administration duties such as team holiday and absence reports and organizational charts.
  3. Supporting with the preparation of presentations and board papers using Microsoft Word and PowerPoint.
  4. Communicating effectively and managing relationships with Senior Managers across TGJones, external stakeholders, and visitors.
  5. Ensuring tasks and projects are planned, managed, and delivered effectively and on time, maintaining a high level of service.
  6. Scheduling internal and external meetings and acting as a first point of contact for external parties.
  7. Supporting team activities by coordinating meetings, away days, and events, and providing admin and project support.
  8. Providing holiday cover for other functions and Executive PAs.
  9. Prioritizing conflicting demands to ensure high-quality service.
  10. Representing the team and wider business professionally and helpfully at all times.
Who we are looking for
  1. Previous experience as an Executive Assistant is required.
  2. Excellent written and verbal communication skills to liaise with internal stakeholders and external suppliers.
  3. Highly organized with excellent attention to detail.
  4. Ability to multitask effectively.
  5. Proficient in MS Word, Excel, Outlook, and PowerPoint, with strong scheduling management skills.
  6. Great interpersonal skills and a team player with a ‘can do’ attitude.
  7. Personal resilience and strength.
  8. Proactive with exceptional time management skills to prioritize workload.
