Building a sustainable tomorrow

BAM Infrastructure are looking to recruit an experienced and motivated Personal Assistant to join our ASTI onshore team. As part of this team, you will play a key part in assisting our Divisional Commercial Manager on a daily basis.

You will be required to work out of our Kilsyth, Scotland office.

Your mission

You will be responsible for the following:

  • Proactively manage a complex/ busy diary with forward thinking ideas to maximise and prioritise the Director’s time.

  • Manage the inbox of the Director, ensuring all emails are properly and efficiently dealt with, keeping track of issues that are pending, and follow up relevant responses.

  • As first point of contact, it is key you will be confident with building and maintaining positive working relationships with a wide group of people and teams internally (e.g. commercial, project delivery & corporate) as well as with peers externally.

  • Prepare meeting materials – agendas, minutes, and presentations.

  • Track and manage dashboards, monthly reports etc.

  • Support both internal and external meetings as required by taking minutes, as well as recording, and following up on actions.

  • Plan and book travel with the best use of time.

  • Take ownership of planning, organising, and managing events such as away days, workshops, and conferences - both internally and with external business partners.

  • Maintain confidentiality and a high level of discretion at all times.

  • Work with other Business Support’s in the region across all platforms.

  • Perform any other Business Support related duties or projects as requested.

Who are we looking for?

Essential Skills and Requirements:

  • Previous Business Support experience working at Director level

  • Exceptional multi-tasking and prioritising abilities to meet deadline

  • Confident manner, and great communication skills

  • Excellent attention to detail, and extremely organised

  • Excellent knowledge of the Microsoft suite

  • Ability to adapt quickly, use initiative and have the confidence to work independently
